The ideal candidates are consistently proactive, detail-oriented, and exceptional at anticipating needs before they arise. You will help streamline workflows, ensure follow-through on commitments, and free up executive bandwidth to focus on scaling the business.Responsibilities<ul class="list-disc list-inside my-5 pl-5 space-y-2 text-gray-700"><li class="leading-relaxed">Screen, organize, and prioritize inbound messages across email & communication platforms</li><li class="leading-relaxed">Manage calendars, schedule meetings, and coordinate appointments</li><li class="leading-relaxed">Handle travel arrangements end-to-end: flights, accommodations, itineraries, logistics</li><li class="leading-relaxed">Research travel routes, industry events, conferences, and speaking opportunities</li><li class="leading-relaxed">Maintain and update task/project management tools (Linear, Notion, Mixpanel)</li><li class="leading-relaxed">Proactively identify and complete tasks without needing to be prompted</li><li class="leading-relaxed">Track deadlines, follow-ups, and ensure deliverables are completed on time</li><li class="leading-relaxed">Provide general administrative and operational support as needed</li></ul><h2 class="text-2xl md:text-3xl font-bold mt-10 mb-4 border-b pb-2 text-gray-800">Requirements</h2><h3 class="text-xl md:text-2xl font-bold mt-8 mb-3 text-gray-800">Qualifications</h3><ul class="list-disc list-inside my-5 pl-5 space-y-2 text-gray-700"><li class="leading-relaxed">3–5+ years experience as a Virtual Assistant or Executive Assistant</li><li class="leading-relaxed">Strong anticipatory thinking — able to see needs ahead of time</li><li class="leading-relaxed">Excellent organization + time management skills</li><li class="leading-relaxed">Comfortable supporting founders and working across fast-moving priorities</li><li class="leading-relaxed">Clear, strong, and professional communication skills</li><li class="leading-relaxed">Ownership mindset — self-driven with strong follow-through</li><li class="leading-relaxed">Proficiency with digital productivity tools (Notion, Linear, etc.)</li><li class="leading-relaxed">Must be able to work full-time during either of the following:</li><li class="leading-relaxed">Role 1: 9:00–17:00 CET</li><li class="leading-relaxed">Role 2: 9:00–17:00 CET or 9:00–17:00 EST</li></ul><h3 class="text-xl md:text-2xl font-bold mt-8 mb-3 text-gray-800">Nice to Have</h3><ul class="list-disc list-inside my-5 pl-5 space-y-2 text-gray-700"><li class="leading-relaxed">Experience working in startups or high-growth teams</li><li class="leading-relaxed">Interest or familiarity with crypto/web3 (not required)</li><li class="leading-relaxed">Experience with Mixpanel or analytics tools</li></ul>
