Associate QA Coordinator

This role involves assisting with the invoice payment lifecycle for purchase orders within the Central Office system and resolving issues related to customer accounts receivables. Key responsibilities include overseeing invoice imports, managing electronic invoice data entry, resolving various invoice exceptions, validating goods receipts, and working with suppliers and customers to ensure accurate invoice matching. The specialist will also follow up on purchase order lines, manage vendor statements, administer pay cycles, process AR adjustments, maintain accounts receivable records, and handle Tier 2 escalations for AP/AR issues.

You will investigate and resolve issues in relation to customer accounts receivables.<ul class="list-disc list-inside my-5 pl-5 space-y-2 text-gray-700"><li class="leading-relaxed">Oversee import of inbound invoices and remediate any import failures.</li><li class="leading-relaxed">Complete data entry and management of electronic invoices sent via other transition methods, (email, fax) into the IllFonic Central office system.</li><li class="leading-relaxed">Resolve Invoiced Not Received (INR) line exceptions.</li><li class="leading-relaxed">Work with supplier and customer to validate goods receipt to complete invoice match.</li><li class="leading-relaxed">Resolve invoice cost line exceptions by following IllFonic pricing thresholds and policies, working with supplier and customer to complete invoice match.</li><li class="leading-relaxed">Work with Data and Technology teams to fix root cause of invoice exception issues to prevent future issues.</li><li class="leading-relaxed">Routinely follow up on Received Not Invoiced (RNI) purchase order lines with suppliers, manually entering invoices into IllFonic system when appropriate or working with the procurement team to cancel sales orders/purchase orders to resolve RNI.</li><li class="leading-relaxed">Review and manage vendor statements to ensure IllFonic and supplier are in sync with outstanding payables.</li><li class="leading-relaxed">Pay cycle administration and releasing payments to the suppliers for matched POs in terms.</li><li class="leading-relaxed">Process reconciliations and Accounts Receivable (AR) adjustments in relation to customer accounting.</li><li class="leading-relaxed">Maintain accounts receivable records to ensure aging is up to date, credits and collections are applied, uncollectible amounts are accounted for, and miscellaneous differences are cleared.</li><li class="leading-relaxed">Handle Tier 2 escalations from customers and/or suppliers on Accounts Payable / Accounts Receivable (AP/AR) issues for all IllFonic customers.</li></ul><h3 class="text-xl md:text-2xl font-bold mt-8 mb-3 text-gray-800">Qualifications:</h3><ul class="list-disc list-inside my-5 pl-5 space-y-2 text-gray-700"><li class="leading-relaxed">Relevant degree preferred.</li><li class="leading-relaxed">2 or more years of relevant experience required.</li><li class="leading-relaxed">Accounts Payable /Accounts Receivable experience required.</li><li class="leading-relaxed">Strong Excel skills required.</li><li class="leading-relaxed">Experience working within ERP systems preferred.</li><li class="leading-relaxed">Strong organization skills and ability to manage multiple ongoing tasks desired.</li><li class="leading-relaxed">Ability to communicate effectively, both written and verbal.</li></ul><h3 class="text-xl md:text-2xl font-bold mt-8 mb-3 text-gray-800">Estimated Hiring Range:</h3>At IllFonic, we consider skills, experience, and organizational needs in our compensation approach. Geographic factors may adjust the range estimate and hires typically fall below the top range. Compensation decisions are tailored to individual circumstances.
