Skydance Media is looking for an experienced administrative professional to support the Operations team. This position will also cover for other administrative staff members who are out of office. The ideal candidate will have previous experience supporting a high-volume desk within a complex and multi-faceted organization. This is a six month opportunity with potential to extend.

Responsibilities

    • Conduct operational tasks such as tracking office supply inventory, research operational solutions and vendors, meeting preparation, deliver mail/packages, and answer main phone line
    • Monitor facility frequently to ensure common areas (conference rooms, kitchens, supply & storage) are clean and organized, notifying appropriate parties of any issues or concerns
    • Screen and respond to incoming calls volume and email correspondence
    • Assist support projects such as inter-office moves and coordination of special events
    • Coordinate shipping and returning packages through USPS and FedEx
    • Coordinate obtaining facility access for new employees
    • Other duties as assigned to assist operations or other support departments

    • Provide as-needed administrative coverage when other administrative assistants are out of office.  Duties include but are not limited to: 
    • Manage department calendar, schedules and coordinates meetings and appointments with both internal and external participants
    • Process expense reports
    • Make travel arrangements and compile travel documentation
    • Provides other administrative assistance as needed, such as file tracking and management
    • Support various research duties including, but not limited to, tracking down materials, rights, and contact information
    • Take detailed meeting notes when required

Requirements

    • Bachelor’s degree required
    • A minimum of 1 year administrative experience
    • Must have unrestricted authorization to work in the United States
    • Demonstrates strong written and verbal communication skills
    • Demonstrates strong organizational and time management skills as well as the ability to work independently and proactively
    • Must be able to multitask, prioritize workload, anticipate tasks, and meet deadlines in a calm and organized manner
    • Exemplifies the ability to interface with colleagues at all levels, peer group to C Suite leaders
    • Demonstrates excellent attention to detail and good judgment
    • Ability to handle confidential matters with the utmost discretion
    • Must be highly proficient with MS software including Word, Excel & Outlook
    • Entertainment, media and production experience is a plus
    • Familiarity with industry concepts, practices, and procedures a plus
The hourly range for this non-exempt position in Los Angeles is $20.00 – $22.00.  The rate offered may vary based on the candidate’s location, qualifications, experience and relevant expertise, among other factors.  The range indicated is for base salary only and does not reflect the total compensation package, including bonus, benefits, etc.
