Job Description

As Proscia's Administrative Coordinator, you will provide high-level administrative support to various departments and executives. Your daily tasks will include maintaining office operations at Proscia's headquarters and acting as a central point of communication for the Proscia team. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Must have:
  • Coordinate and manage daily administrative tasks and projects
  • Serve as the point of contact between departments, customers, and vendors
  • Schedule and organize meetings, appointments, and travel arrangements for multiple executives
  • Prepare reports, presentations, and correspondence for weekly company meetings
  • Maintain and update databases, filing systems, and records as needed
  • Support the onboarding process for new employees
  • Ensure compliance with office procedures and company policies
  • Order office supplies and manage inventory
  • Plan and coordinate team events, office lunches, and meetings as needed

About the Role

As Proscia's Administrative Coordinator, you will provide high-level administrative support to various departments and executives. Your daily tasks will include maintaining office operations at Proscia's headquarters and acting as a central point of communication for the Proscia team. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities:

  • Coordinate and manage daily administrative tasks and projects
  • Serve as the point of contact between departments, customers, and vendors
  • Schedule and organize meetings, appointments, and travel arrangements for multiple executives
  • Prepare reports, presentations, and correspondence for weekly company meetings
  • Maintain and update databases, filing systems, and records as needed
  • Support the onboarding process for new employees
  • Ensure compliance with office procedures and company policies
  • Order office supplies and manage inventory
  • Plan and coordinate team events, office lunches, and meetings as needed

Qualifications:

  • Education: Associate or Bachelor’s degree in Business Administration, Office Management, or related field (or equivalent experience)
  • Experience: 2+ years in an administrative or coordination role
  • Skills:
  • Excellent written and verbal communication
  • Strong organizational and multitasking abilities
  • Proficiency in G-Suite and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Comfortable with office technology and collaboration tools (e.g., Zoom, Slack)
  • Ability to work independently and as part of a team
  • Interest in HR a definite plus
