Business & Office Support Specialist

Position Summary We are seeking a Business & Office Support Specialist to support our leaders by managing calendars, coordinating meetings, handling expense reports, and assisting with travel and event planning. This role also involves office management tasks such as vendor coordination, collaboration with our administrative team, and stipend management through Aramark and GrubHub. Additional responsibilities include providing Concur training and support, assisting local and visiting SciPlayers, and performing other duties as assigned. Job Duties: Provide administrative assistance to our VP’s & General Managers (45%) Leaders: Justin McFarlane Doug Dicken Cam Lee Duties: Calendar & meeting management Expense reports Travel coordination Team culture budget management & event planning support Office management & procurement (25%) Stipend management, coordination & troubleshooting: Aramark & GrubHub Office Meal Planning, Coordination & Budget Management Office Supply Ordering & Maintenance Office Vendor Communication, Coordination, Relationship Maintenance Partnership with our Administrative Team Maintaining a welcoming office atmosphere Ensuring the office and conference rooms are organized, stocked and proactively ordering supplies when needed Supporting local & visiting SciPlayers (15%) Meal, room & space reservations Local recommendations & reservations Scheduling & booking travel for interviewees Concur Training & Support (10%) Provide Concur training to all current & new users Answer SciPlayer questions and provide support for all things Concur Other Duties as Assigned (5%) Qualifications Administrative assistant or executive assistant experience Office management experience Communication skills (verbal, written, use of multiple platforms – Outlook, Slack & WhatsApp Preferred) Calendar Management Skills Ability to maintain a high level of confidentiality Ability to effectively use Microsoft Office Suite Work Location: In office role 5 days per week (Monday – Friday) We are SciPlay!
