Job Description

The Cluster Manager OVH for the Milano 2026 Olympics will manage operational support for On Location's 'In the City Hospitality' programs outside Olympic venues in Milan. Responsibilities include managing venue contracts, delivering exceptional client hospitality experiences (food & beverage, broadcasts, etc.), collaborating with internal teams (F&B, design, entertainment, etc.), managing budgets and P&L, overseeing vendors, and ensuring sustainable practices. The role requires strong event production and management skills, experience with large-scale events, and fluent business English (Italian preferred). The manager will be the on-site contact, leading production meetings, troubleshooting issues, and reporting to the Director of Event Production.

Overall, Scope of Role:

Cluster Manager, in the city hospitality (OVH) Event Production is a key role with a primary responsibility for providing operational support across OVH programs occurring outside Olympic Sporting venues. The In the city hospitality concept was developed by On Location for the Paris 2024 Olympics and includes access to a hospitality experience before or after attending a sporting event. The venue is centrally located within the city center and offers clients an exclusive Olympic experience.

The clusters are divided as follows across (3) OVH locations. The number of venues are subject to change based upon demand.

  • Cluster 1: Milano (01 Venue)
  • Cluster 2: Cortina (01 Venue) / Livignio (01 Venue)

All planning will be done centrally, from On Location Milano Offices with site visits if / when necessary.

The OVH Cluster Manager works closely with:

  • The Director of Event Production – In the City Hospitality (OVH)
  • The other cluster manager (to share best practices and problem solve)
  • On Location internal Functional Areas (FAs)
  • MICO26 relevant interlocutors if / when necessary
  • The Venue owner, the production agencies and all external partners involved in the production of the experience.

The Cluster Manager will focus on delivering the most exceptional hospitality experiences for clients in the city of the assigned cluster.  Experiences may include: food and beverage, photo opportunities, games broadcast viewing and other information touchpoints within a curated Olympic sports themed environment. 

Essential Functions & Responsibilities:

· Work in collaboration and coordination with Director – In the City Hospitality (OVH) to:

  • manage venue contracts.
  • deliver the best hospitality programs with as much consistency as possible while building structure/organization with the team in place.
  • update Director Event Production of day-to-day progresses and challenges; and request input and advice for key decisions

•  Work in partnership with the commercial product architecture team to define and/or adjust service levels and manage budget per Olympic venue based upon sport, demand, sessions and sales levels.

• Work in partnership with all FAs involved and more especially, with those having an impact on the Event Production team delivery – included but not limited to F&B, Art and Design, Entertainment, Overlay, Workforce, Accreditation, Logistic, Gifting …

• Manage overall project milestones and timelines.

• Manage P&L and track expenditures.

• Manage suppliers and vendors.

• Encourage and support use of sustainable products, when available.

• Attend all meetings (virtual/in person) in relation with his/her cluster and report on behalf of the Event Production team(s) as it relates to the OVH hospitality programs.

General Responsibilities:

• Main point of contact on-site, representing the Event Production Team and more globally, the company.

• Develop the overall operational planning of the OVH Venues

• Update existing or upcoming operational tools.

• Facilitate and lead production meetings with key staff.

• Troubleshoot, anticipate and act proactively on event aspects of role, leading up and following turn over to production implementation team.

• Forecast, qualify and maintain budget

• Administrative & Other, including but not limited to:

  • Expense Reports
  • File storage
  • Monthly days reports

Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems, alone or alongside other managers and/or the Director, Event Production.

Travel

Must be adaptable with work and travel schedule. Available to travel (domestic) for work during holidays and key event times.

Qualifications

Required Education and/or Experience, Knowledge, Skills, and Abilities:

• Bachelor’s degree in hospitality management, Sports Management, Event Management or a related field, or equivalent experience required.

• Minimum of 3-5 years of experience in managing (and producing) events and/or brand activations and/or event teams.

• Experience in managing and producing events in Event spaces and/or event venues.

• Prior experience with large-scale (sports) events, a plus.

• Prior experience with immersive experience, a plus.

• Speaks and writes fluent business English; Italian is preferred but not mandatory

• Proficient user of Microsoft Office Suite

• Knowledge of SharePoint | Smartsheets | Microsoft Teams | Zoom | Confluence

• Highly organized and process oriented.

• Ability to:

  • multi-task.
  • remain calm in high-pressure situations.
  • work in a moving environment

• Strong communication, interpersonal, negotiation and conflict resolution skills.

• Self-motivated, resourceful, and directed, requiring minimal supervision.

• Good timekeeping and work ethic that is characterized by commitment, motivation, and energy.

• Presently resides and/or is willing to relocate to Milano, Italy.

• Flexibility and positive attitude to work long days, evenings, weekends and holidays when necessary.
