Job Summary

This role is for a Document Controller, responsible for administrative support and ensuring effective interaction with senior managers. Key responsibilities include organizing workload, managing filing methods, working with document management software, and maintaining and archiving documents. The role also involves tracking and managing revisions of design documents, distributing documents to stakeholders, and ensuring compliance with document control procedures, including archiving and data logs. The candidate must have advanced proficiency in both Arabic and English.

Job Description

ROLE PURPOSE:

All levels of technical document control and other administrative support duties ensuring assigned tasks and responsibilities.

KEY RESPONSIBILITIES & ACCOUNTABILITIES:  

  • Assist with administrative support and effective interaction with senior managers on the job.
  • Ability to organize workload and manage filing methods and management techniques.
  • Work with document management software applications.
  • Knowledge in the use of spreadsheets, database and word processing.
  • Maintaining, managing, and ensuring easy access to, tracking, distribution and archiving of documents.
  • Organize, file, and maintain design documents (drawings, specs, reports) in the document management system (DMS).
  • Ensure all documents are up-to-date, properly indexed, and easily retrievable.
  • Track and manage revisions of design documents, ensuring the latest versions are used and distributed.
  • Maintain accurate records of document changes, approvals, and transmittals.
  • Distribute documents to relevant stakeholders (internal and external).
  • Ensure compliance with Document Control Procedure of the organization.
  • Oversee the archiving of completed or outdated documents.
  • Ensure secure storage and easy retrieval of archived documents.
  • Update of Data logs

Generic Skills: 

Advanced level in Arabic and English.
