Job Description

As an Executive Assistant, you will be responsible for providing exceptional support to several C-level executives. The role involves acting as a central point of contact, organizing travel and expenses, managing complex calendars, and coordinating internal and external meetings. The ideal candidate will proactively identify and solve administrative support issues and operate autonomously.
Must have:
  • Fluency in written and spoken English.
  • 5+ years of administrative support experience for C-level executives.
  • Experience working in a remote-based environment.
  • Ability to work in the office for meetings and responsibilities.
  • Demonstrated discretion in handling confidential information.
  • Experience in coordinating travel, expenses, and meeting arrangements.
  • Strong organizational and time management skills.
  • Proactive with a strong attention to detail.
  • Excellent interpersonal and communication skills.
  • Proficiency in Microsoft Office suite.

As an Executive Assistant, you will be responsible for providing exceptional support for several C-level executives. The main scope of the role is to act as a central point of contact for these executives.  The role is responsible for organizing and scheduling travel, creating expense reports, leading projects assigned to you, and managing complex calendars. You will also organize internal and external meetings by generating invitations and coordinating complex calendars in addition to reserving meeting rooms and transportation, organizing catering, and handling audio/video needs.

 

The ideal candidate will be able to proactively identify and solve issues related to administrative support and should be comfortable operating autonomously.

 

The Candidate:

Required skills/qualifications:

  • Fluency in written and spoken English at CEF B2 level or above
  • At least 5+ years of professional administrative support experience, with a focus on supporting C-level executives
  • Experience in working successfully in a remote-based (home/telework) environment
  • Able to work in office as needed for in-person meetings and other office-based responsibilities
  • Possess transparency in communications and the ability to demonstrate discretion in handling highly confidential information
  • Experience coordinating cost-effective travel, expenses, and meeting arrangements with internal and external partners
  • Demonstrates strong organizational and time management skills and the ability to successfully manage competing priorities
  • Proactive with a strong attention to detail
  • Excellent interpersonal and communication skills and ability to interact with individuals at all levels of the organization
  • Proficiency in Microsoft Office suite
