Job Description

This role at Tavus involves driving operational efficiency and accelerating the company. The Executive Assistant will deeply embed with the Co-Founder & COO, providing critical leadership support, operationalization, and acting as a strategic partner. Responsibilities include supporting the executive team with admin tasks like scheduling and communications, and managing the office to ensure a positive work environment. The ideal candidate will be a trusted confidant, removing obstacles and keeping the COO focused on growth.
Must have:
  • Deeply embed with the Co-Founder & COO to play a critical role in leadership support, operationalization, and delivering an ambitious vision as a strategic partner
  • Support the executive team (CEO, COO, CFO) with basic admin such as scheduling, org communications, and other tasks
  • Own the role of office manager, ensuring the team loves where they work
  • Own and manage the COO’s calendar, inboxes (email, Slack, LinkedIn), and other communications - ensuring nothing slips through the cracks
  • Help own, plan, and organize both internal and external events
  • Anticipate needs and think five steps ahead, proactively clearing roadblocks and creating “magic moments” that make daily life smoother and more enjoyable
  • Sit in on meetings, take detailed notes, manage follow-ups, and ensure action items are executed
  • Draft, edit, and send professional, polished communications that match the COO/CEO’s tone and voice
  • Identify opportunities to improve efficiency, including basic automation using tools like Zapier
  • Support ad hoc projects end-to-end with minimal instruction
  • Availability and flexibility to respond quickly, frequently outside standard working hours
  • Exceptional written and verbal English communication skills
  • Highly organized with strong attention to detail
  • Thrive in ambiguity and figure things out independently

The Role

We’re looking for this person to come on to drive operational efficiency, and help accelerate the company. This includes a few core responsibilities:

  • Deeply embed with the Co-Founder & COO to play a critical role in leadership support, operationalization, and delivering an ambitious vision as a strategic partner
  • Support the executive team (CEO, COO, CFO) with basic admin such as scheduling, org communications, and other tasks
  • Own the role of office manager, ensuring the team loves where they work

You’ll be a strategic partner, trusted confidant, and force multiplier who removes obstacles, creates order from chaos, and helps keep the COO focused on what matters most: growing Tavus and delivering on our ambitious vision.

What You’ll Do

  • Naturally positive, friendly energy - someone who is genuinely fun to work with, while also direct and unafraid to push back when needed.
  • Strong sense of ownership - you care deeply about outcomes and take pride in going above and beyond.
  • Tech-savvy; comfortable with Google Workspace, Slack, Notion/Coda, and able to pick up new tools quickly.
