About the Role:
Our innovative gaming studio in Tokyo is seeking an organized and proactive Office Manager to join our dynamic team. This role is integral to ensuring the smooth day-to-day operations of our office, facilitating communication between our Japanese and international teams, and supporting the President with key administrative tasks.
Responsibilities:
● Office Management:
● Oversee daily office operations, ensuring a productive and efficient work environment.
● Manage office supplies, equipment, and vendor relationships.
● Coordinate with building management on office-related issues and improvements.
● Translation Services:
● Provide accurate translation of documents, emails, and meeting materials from Japanese to English and vice versa.
● Assist in verbal translation during meetings, calls, and presentations as needed.
● Project Management & Operational Efficiency:
● Support project management efforts by tracking timelines, deliverables, and resources.
● Implement and maintain operational processes to enhance efficiency across departments.
● Time Card Reporting & Management; assist with lmaintaining employee records, processing time cards, and coordinating with payroll on related activities.
● Help onboard new employees and coordinate with HR dept on employee benefits administration.
● Travel Coordination & Meeting Setup:
● Coordinate domestic and international travel arrangements for the President and other team members as required.
● Organize and schedule meetings, including preparing agendas, booking meeting rooms, and arranging necessary materials.
● Executive (backup) Support:
● Provide administrative support to the President, including calendar management, correspondence, and task prioritization.
● Prepare reports, presentations, and other documentation as requested.
Excellent organizational and multitasking abilities, with a keen eye for detail.
● Communication: Strong communication skills, with the ability to interact effectively with both local and international teams.
● Technological Proficiency: Proficient in MS Office Suite (Word, Excel, PowerPoint), and experience with project management software is a plus.
● Travel & Meeting Coordination: Experience in coordinating travel arrangements and organizing meetings with multiple stakeholders.
Requirements. Who you are and what you've done.
● Office Management Experience: Proven experience in managing office operations, preferably in a fast-paced, creative environment.
● Translation Skills: Fluent in both Japanese and English, with strong translation skills in both written and spoken forms.
● Project Management: Strong ability to manage projects, coordinate tasks, and drive operational efficiencies.
● Bachelor’s degree in Business Administration, Communications, or a related field.
● 3+ years of experience in office management, ideally within the gaming, tech, or creative industries.
● Prior experience in a bilingual work environment is highly desirable.
