The ideal candidate will have a minimum of 5 years of executive assistant experience, excellent organizational and problem-solving skills, and proficiency in MS Office 365. Fluency in English is required, and other language skills are a plus. The position requires flexibility for after-office support, including weekends, and appropriate immigration permission to work in Singapore.

Are you an experienced Executive Assistant looking to make an impact in the dynamic world of entertainment? Sony Pictures Entertainment’s TV Distribution Division for APAC is seeking a dedicated and proactive Executive Assistant to provide secretarial and administrative support to three senior executives in our Singapore office. Join us in shaping the future of entertainment across the Asia Pacific region!

What You Will Do:

Calendar and Meeting Management

  • Manage calendar and meetings, including organizing calls, meetings, and events.

  • Communicate with senior level executives both internally and externally, maintain contact lists, and build relationships with key stakeholders and their executive assistants.

  • Professionally liaise with executives and their assistants around the world and throughout the organization to handle requests and queries.

  • Sit-in on meetings with executives and clients. Provide support as needed during meetings, including capturing notes and following up with meeting notes.

Travel and Event Coordination

  • Plan, organize, and book travel, including air, ground transport, and hotel arrangements.

  • Organize both internal and external client meetings and events both in Singapore and around the region, supporting events internally and/or remotely.

  • Arrange, host, and work events both in the office and outside of the office, including film screenings, team activities, industry conferences, and other events locally and around the region.

  • Manage and support regular screenings in the office for employees, clients, and guests.

Administrative Support

  • Support the management of the Singapore office including organizing and managing supplies, storage room, and all other administrative support as required.

  • Provide administrative support to the South East Asia sales team, Digital Strategy and New Media team, and Research team, including preparing sales and marketing materials and PowerPoint decks, curating content lists for sales pitches, performing market research on media industry trends in South East Asia and the broader APAC region.

  • Provide support with the creation of organization and strategy decks and reports, sales support, and analyses, as needed.

  • Assist senior executives with ad-hoc projects.

  • Perform any relevant duties with respect to the TV Distribution business both in Singapore and across the Asia Pacific region as required.

  • Prepare, reconcile, and submit Travel & Entertainment (T&E) reports in a timely manner.

  • Liaise with vendors and customers and manage internal tracking documents across markets.

What You Need:

  • Minimum 5 years of executive assistant experience, preferably with experience supporting senior level executives.

  • University degree ideal, with additional qualifications in secretarial support a plus.

  • Fluency in both written and spoken English required. Other language skills, such as Mandarin, Japanese, and Korean is a plus.

  • Exceptional organizational skills with the ability to multi-task.

  • Excellent attention to detail and problem-solving skills.

  • Timeliness, responsiveness, and the ability to meet demanding and shifting deadlines.

  • Self-starter, highly reliable, and pro-active. Ability to anticipate needs of the business and executives.

  • Trustworthy and able to maintain confidentiality.

  • Pro-active in keeping supervisor informed of work status and critical needs.

  • Mature, independent, sensible and tactful with a positive and helpful working attitude.

  • Able to interact professionally with people at various levels, countries, and cultures around the world.

  • Must be flexible in providing after office support including weekends as required.

  • Proficient in MS Office 365 (Outlook, Teams, Word, Excel and PowerPoint, in particular).

  • Please note that this role is based in Singapore. In order to enable us to meet statutory and regulatory obligations of the Singapore immigration system you must have the appropriate immigration permission needed to work and reside in Singapore for the duration of the employment.
