Job Description

The Facilities Coordinator will oversee office services, coordinate with vendors, and ensure a high standard of workplace hygiene, safety, and efficiency. This role involves managing office operations such as accommodation, maintenance, and security, while also monitoring hygiene standards and responding to emergencies. The coordinator will manage vendors, handle supplies, and respond to employee inquiries. Collaboration with other departments to support company events and activities is also expected. The role requires managing funds, ensuring compliance, and requires a 5-day office presence.
Must have:

  • Good computer skills (Word, Excel, Outlook, PowerPoint).
  • Proactive team player with strong problem-solving abilities.
  • Ability to manage multiple tasks and work under pressure.

We are looking for a proactive and detail-oriented Workplace Services Coordinator to ensure the smooth operation of our office facilities. In this role, you will manage office services, coordinate with vendors, and ensure a high standard of workplace hygiene, safety, and efficiency. You will also work closely with cross-functional teams to support company events and enhance the overall employee experience. Please, note that due to the essence of the work, this positions requires a 5-day office presence. 

In this role, you will:

  • Office Operations & Facilities Management
    • Oversee and coordinate office services such as accommodation, relocation, maintenance, cleaning, security, and deliveries.
    • Ensure that all workplace facilities are well-maintained and comply with local regulations, policies, and best practices.
    • Monitor hygiene standards in both workspaces and employee dining areas.
    • React quickly to emergencies related to the company’s office space.
  • Vendor & Supplies Management
    • Supervise and evaluate the performance of subcontractors providing cleaning, food, and beverage services.
    • Manage and track office and kitchen supplies, ensuring availability and efficient usage.
    • Maintain effective communication with external suppliers, handling orders, deliveries, and vendor contracts.
  • Employee Support & Issue Resolution
    • Respond promptly to inquiries and requests received through the company’s ticketing system (AskProgress) or other channels.
    • Work directly with employees to address concerns and implement corrective actions to enhance workplace satisfaction.
    • Provide timely and comprehensive feedback to stakeholders.
  • Event & Cross-Team Collaboration
    • Partner with Marketing, PR, HR, and other departments to support the organization of company events and activities.
    • Actively participate in team meetings and contribute to process improvements.
  • Budget & Compliance Management
    • Manage and account for company-provided funds related to workplace services.
    • Ensure compliance with local workplace regulations and company policies.

Your background:

  • Good English language skills (spoken and written).
  • Experience in a similar role and or/transferrable skills are considered a strong advantage
  • Excellent communication and interpersonal skills.
  • Good computer skills, including Microsoft Word, Excel, Outlook, and PowerPoint.
  • A proactive team player with a positive attitude and strong problem-solving abilities.
  • Ability to manage multiple tasks efficiently and work well under pressure.
