Job Description

As a Fulfillment Associate, Document Management and Processing, you will ensure accurate and efficient processing of legal documents received by the company, confirming receipt with clients. This time-sensitive role requires attention to detail in a fast-paced environment to support smooth operations and meet customer service standards as a registered agent. Responsibilities include discerning legal Service of Process documents, processing them using proprietary software, communicating with internal offices and vendors, ensuring delivery and confirmation to clients via email, phone, and FedEx, and handling client queries and account updates. You will also retrieve, sort, and distribute mail, scan governmental agency correspondence, and log client correspondence into the RASi management system.

  • Experience with Microsoft Office (Outlook, Excel, Word).
  • Experience with Adobe Acrobat.

Job Details

As a Fulfillment Associate, Document Management and Processing, you will ensure that legal documents received by our offices are processed accurately and efficiently, confirming receipt of the documents by our clients. These documents are time-sensitive, so this role requires attention to detail and an ability to excel in a fast-paced environment, in support of smooth operations. Your role will be essential in meeting customer service standards fulfilling the duties of a registered agent for our clients. In this role, you will work from our local Austin, TX (Southwest Parkway) office.

Responsibilities:

  • Discern which documents received by our company are legal Service of Process, based on statutes and industry standards.

  • Process all Service of Process (SOP) documents using our proprietary work site, providing delivery instructions to our receiving offices, and forwarding scanned copies to our clients.

  • Communicate with internal receiving offices and third-party vendors regarding documents.

  • Ensure delivery and confirmation of all SOP documents by our end-user clients through email, phone, and FedEx tracking.

  • Answer client queries regarding SOP and the account tools that interact with legal documents, update client accounts as necessary.

  • Retrieve, sort, and distribute incoming mail, scanning documents that are governmental agency correspondence.

  • Log client correspondence into the RASi management system, generate correspondence receipts, and forward to clients.

  • Work in a time-sensitive environment with a large workflow.

  • Be creative in identifying ways of increasing efficiency and simplifying processes.

  • Effective communication (verbal and written) and relationship-building skills.

  • High School diploma or equivalent; highly prefer some college.

  • Experience working with Microsoft Office products: Outlook, Excel, Word; experience working with Adobe Acrobat.
