EveryMatrix seeks a well-organized Office Administrator & HR Officer for its Malta office. Responsibilities include facility management (security, housekeeping, maintenance), managing building operations, coordinating events, handling travel arrangements, expense tracking, contract management, employee onboarding, assisting with HR processes, managing employee benefits, and maintaining office files. The role requires strong organizational skills, proficiency in MS Office, excellent communication, and the ability to work independently and as part of a team. The position offers a hybrid work schedule (60% office, 40% remote after initial period), and a comprehensive benefits package.

About the role:

EveryMatrix is looking for a bright and well-organized Office Administrator to join our team in the gorgeous Malta office. 

What You'll get to do:

  • Maintain the available location from the perspective of Security, Housekeeping, and Administration 
  • Ensure the management of the rented building/space/ company flat (equipment, electricity, water distribution, safety, firefighters, security, removals, etc.) 
  • Manage requests, employee complaints 
  • Coordinate new building projects, renovations, or refurbishments. 
  • Contact suppliers/contractors with specific needs, initiate proposal requests, select vendors, maintain the commercial relationship and manage expenses
  • Organize and coordinate events (office corporate events, trainings, meet-ups, workshops, parties) 
  • Manage the travelling arrangements for Malta group visitors: booking flights, hotels, taxi
  • Keep a strict and real-time record of all expenses for the office: petty cash report and invoices and receipts uploaded in our expense system
  • Keep a strict record of all contracts and addendums with partners and suppliers (including lease)
  • Manager orientation and induction of new employees 
  • Assist with signing and collecting employment documents and maintaining the necessary records in line with the local legislation
  • Communicate with external providers on employment matters 
  • Assists the Human Resources department with collecting employees' information and with ad-hoc projects 
  • Maintain confidentiality regarding employment and company data 
  • Manage employee benefits and office perks, including ordering and delivering welcome packs to new joiners, anniversary gifts, and all other HR event items
  • Maintain General Office Files, including job files, vendor files, and other files related to the company’s operation. 


What You need to shine:

  • Facility management experience 
  • Understanding of Human Resource 
  • Processes Knowledge of Microsoft Office (Word and Excel)
  • Excellent written and oral proficiency in English
  • Basic accounting knowledge would be considered an asset
  • Able to work in a team and independently
  • Professional behavior with a positive ‘can do’ attitude
  • Punctual and dependable
  • Clear communicator and an active listener 
  • Proactive and able to take decisions under pressure
  • Willing to learn and improve the current knowledge

Here's what we offer:

  • Start with 22 days of annual leave, with 2 additional days added each year, up to 32 days by your fifth year with us.
  • Stay Healthy: 10 sick leave days per year, no doctor's note required.
  • Hybrid work schedule: 60% work from the office and 40% work from home per quarter (during your first 3 months, you'll be in the office full-time).
  • Support for New Parents:

- 21 weeks of paid maternity leave, with the flexibility to work from home full-time until your child turns 1 year old.

- 4 weeks of paternity leave, plus the flexibility to work from home full-time until your child is 13 weeks old.
