Job Description

As an Outbound Operations Planner, you will be responsible for managing outbound distribution and inventory operations. This includes overseeing transport booking, warehouse coordination, and shipment operations from Sales Order creation to Post Goods Issue at the Distribution Center. You will support daily operational activities for finished good commercial movements, including site engagement, escalation management, tracking, and audits. You will ensure compliance with Haleon's Quality Management System, GxP, Safety, HSE, Finance, and Global Trade Compliance policies. You will monitor inventory, coordinate releases, optimize truck utilization, drive daily operations, and manage performance metrics.

ABOUT THE ROLE

As an Outbound Operations Planner, you will be responsible for the comprehensive management of outbound distribution and inventory operations. Your role will ensure the efficient and cost-effective delivery of products to customers by overseeing transport booking, warehouse coordination, and shipment operations from Sales Order (SO) and Stock Transfer Order (STO) creation to Post Goods Issue (PGI) at the Distribution Center. You will actively support daily operational activities for all finished good commercial movements, including site engagement, escalation management, tracking, and audits. Additionally, you will ensure compliance with Haleon's Quality Management System, GxP, Safety, HSE, Finance, and Global Trade Compliance policies. This role involves monitoring inventory, coordinating the follow-up on release to optimize truck utilization, driving daily operations, ensuring compliance with regulations, supporting continuous improvement initiatives, and managing performance metrics within the PCT Outbound team.

MAIN OPERATIONS

  • Sales Orders (SO) & Stock Transfer Orders (STO) Management: Drive daily management of Sos (Sales orders), STOs (Stock Transfer Orders) and deliveries in collaboration with HUB Supply Planners and the wider Haleon business. Ensure O2C (Order To Cash) activities are executed on time and according to procedures and cost guidance (e.g., P2P activities, supplier invoices, insurance claims, warehouse monitoring).
  • Inventory Management & Release Coordination: Monitor inventory levels and maintain appropriate levels of Finished Goods (FG) inventory and take necessary actions to clean stock when required. Coordinate inventory movements and ensure timely updates to inventory systems. Drive cost savings related to inventory and lead time. Implement and run Rough Cut Capacity Planning (RCCP) for the main distribution warehouse (Planzer Pratteln) to foresee inventory and pallets volumes (especially during quarter/year end closure). Ensure accurate forecasting and planning to optimize truck utilization and warehouse space. Actively participate to achieve Site scorecards KPIs (service, inventory – cash flow, E2E Leadtime).
  • Shipment Monitoring: Monitor, analyze root cause and report shipment problems such as damaged goods, shortages, missing trucks via the dedicated tool/reporting chain.
  • Warehouse Operations: Monitor and manage daily warehouse operations, including destruction (using local system), sampling, and standard operations related to third-party transport providers.
  • Transport Operations: Ensure the operational interface between KN LCC and Haleon business units, fostering effective relationships. Address and mitigate recurring issues related to volume and unresolved matters from KN. Provide operational support to logistics service providers to ensure timely delivery of products to customers and communicate effectively in case of distribution chain disruptions. Resolve escalated issues that cannot be managed by the KN LCC, providing a consistent interface with markets and site to ensure smooth operations.
  • Performance Monitoring: Monitor and publish agreed Key Performance Indicators (Conformance to Consolidation (CTC), Conformance to Distribution (CTD), On Time in Full (OTIF), Cash flow). Manage monthly meetings with the global logistics team to share KPIs and discuss operational performance and distribution issue.
  • Supply Chain Meetings: Participate in and facilitate daily meetings to address outbound supply chain risks (service, inventory during the daily PCT OUT meeting).
  • Market Demand Collaboration: Work closely with the planning team to understand and respond to market demands, adjusting service priorities as needed.
  • Crisis Management: Proactively manage and respond to global crises such as truck disruptions, sea cargo issues, weather-related disruptions, and political events. Support and actively participate to contingency plans to ensure continuity of supply and minimize impact on operations. Communicate effectively with stakeholders to provide updates and coordinate alternative solutions.
  • Continuous Improvement: Drive improvement of operational performance for all Nyon Outbound activities. Support in delivering E2E lead time reduction targets by leveraging knowledge of manufacturing, warehousing, and logistics processes. Actively demonstrate process improvement by focusing on problem-solving approaches and corrective/preventive actions to prevent recurrence. Utilize continuous improvement methodologies (such as Lean, Six Sigma) to optimize processes and increase operational efficiency.
  • Distribution Risk Assessment: Review and Maintain DRA for all Finished Goods
  • Act as the SAP Super User for O2C and W&D when applicable.

COMPLIANCE

  • Compliance Adherence: Ensure adherence to Haleon's Quality Management System, GxP, Dangerous Goods, and financial requirements as defined in Global Policies and Procedures.
  • Ensure all movements (physical and documentation) comply with national/international regulations, including Dangerous Goods regulations.
  • Provide data elements and operational support to Customs brokers and maintain a master database for border clearance.
  • Manage day-to-day operational compliance issues within the E2E LP scope.
  • Collaborate with global teams on New Business & Divestments to ensure regulatory requirements for first export shipments, in-license, and merger/acquisition deals.
  • Support deviations, investigations as W&D SME via the appropriate tool (Veeva)
  • Serve as the local/regional point of contact for customs and trade compliance queries (incl. incoterms consistency).
  • Connect with the Global Trade Compliance Team for product classification/origin determination and Swiss Customs Authority requests.

EDUCATION BACKGROUND

  • Minimum education level: University degree (BSc) or equivalent.
  • Area of specialization: Logistics, Supply Chain Management, Industrial Engineering, Trade & Compliance, Customer Service.

RELATED EXPERIENCES

  • Logistics Management Experience: Minimum of 3 years of experience in logistics management, production planning, or supply chain management.
  • Knowledge of GMP and HSE Standards: Experience in a regulated environment with a good understanding and application of GMP (Good Manufacturing Practices) and HSE (Health, Safety, and Environment) standards.

TECHNICAL SKILLS

  • ERP SAP MERP: Proven experience in using ERP systems.
  • Microsoft Office: Advanced proficiency in Excel and PowerBI.

The role requires managing high complexity and interacting with a diverse range of stakeholders (from quality to planning directors, as well as cross-functional roles). It demands deep expertise in manufacturing and logistics processes, as well as analytical skills. The Outbound Operations Planner must be an expert in the SAP MERP system and associated tools, in addition to possessing demonstrated stakeholders’ management skills. Excellent communication skills are also essential for this position, along with fundamental operational rigor.
