The Color Production Coordinator directly supports the Producer, acting as a key contact for internal and external teams. Responsibilities include organizing and monitoring project progress, ensuring effective communication with clients and the internal team, coordinating project needs, verifying project statuses and budgets, and assisting with work order creation and billing. The role requires strong communication, attention to detail, and the ability to work collaboratively in a fast-paced environment. Additional duties involve supporting color assists, interfacing with clients, troubleshooting session issues, managing resources, and working with various support teams (Operations, Assists, Scheduling).

Position Summary:

The Color Production Coordinator (Short Form) functions as a direct support to the assigned Producer and is a point of contact while working with internal and external teams to organize, supervise, and monitor the progress of projects. The Producing team holistically is responsible for oversight and management of the commercial production process from initial client contact, bidding, scheduling to delivery. 

Possessing a strong attention to detail in a fast paced environment, the Color Production Coordinator demonstrates an ability to work successfully in a collaborative environment, delivering accurate and quality work on schedule, and has excellent skills in building relationships and communicating effectively. 

This role requires a highly professional demeanor and diplomacy when dealing with clients, production management, coworkers, and artists. The Color Production Coordinator reports into the Head of Production and actively provides support and executes task-based work for the commercial producing team. 

This position will require working in our Santa Monica studio on a regular basis.  You may also be required to travel and work out of our studio in Hollywood, as needed. Must be able to work variable shifts, as needed. Available to work overtime and variable shifts, including late nights, weekends and holidays, as necessary per business needs. 



Main Duties:

The Production Coordinator will support the Producer for daily color sessions. They will act as an additional point of contact alongside their assigned producer for their internal CO3 team and clients via in-person interactions, e-mail, and phone. They will also assist in maintaining effective communication with the internal team and clients regarding job status. They will help coordinate and verify project needs prior to any session start times and/or client arrivals as well as deliveries. They will help keep a pulse on all projects being produced including the status of individual commercials and budgets. 

The following tasks illustrate some of the primary responsibilities: 

  • Firsthand communication with Producers upon arrival and throughout the day. 
  • Assisting in the collection and logging of project statuses and key information. 
  • Keeping the production team up to date on project status. 
  • Supporting color assists with project information, prioritizing tasks, and ensuring they have the elements to complete their tasks. 
  • Interfacing with the client if required elements for jobs are missing. 
  • Assisting the producer in the creation, actualizing and billing of work orders. 
  • Ensuring all resources assigned to the job are available as scheduled. 
  • Making sure projects and resources are ready for sessions to begin on time. 
  • Working with the Studio Operations team to setup and support virtual sessions for offsite clients.  
  • Working with the Producer and assistants to troubleshoot any session related problems. 
  • Assisting in greeting and escorting clients to the bays upon arrival.  
  • Assisting in checking in on artists, clients, assists, and client services on a regular basis to make sure the session is well supported.  
  • Notifying the Producer if any delivery deadlines that will or are in jeopardy of being missed. 
  • Tracking revised projects and ensure they are archived daily by the Assist team.  
  • Working with Production Managers to effectively manage SAN storage capacity.
  • Communicating with our Engineers if any network issues arise. 
  • Engaging Engineering staff to resolve urgent technical problems. 
  • Coordinating project details across sister facilities. 
  • Developing an understanding of the relation between production team and the various support teams (Operations, Assists, Scheduling).
  • Supporting the primary producer in managing artist schedules on a daily basis.  
  • Collaborating with the scheduling team to gather artists’ holds and share them with the client as required.  
  • Supporting the primary producer with creating and sharing bids.  
  • Active participation in production meetings.  
  • Working with Production Managers if any weekend/holiday work is necessary to appropriately staff assistant coverage.   
  • Collecting final masters from Client for archiving.  
  • Other evolving tasks that each project may require.

  • Experience with Microsoft Office: Outlook, Excel and Word.
  • Basic administrative skills including but not limited to typing, answering phone calls and responding to emails/instant messages, scanning or printing documents, creating and saving PDF documents, organizing electronic and physical project information, etc. 
  • Previous experience working in a fast-paced environment and/or similar field.
  • Basic knowledge of the Color Correction Process.
  • Basic knowledge of offline editing, VFX and sound workflows.
  • Basic knowledge of scheduling the post process.
  • Basic knowledge of task based software (ClickUp, Asana, Jira).
  • Desire for post production and being comfortable asking questions to be able to learn and grow.
  • Ability to anticipate potential project setbacks and proactively recommend solutions to prevent project delays.

The benefits for eligible part-time employees working 25 or more hours per week and full-time employees in the US include a comprehensive package of health, retirement, and insurance benefits and paid time off. The benefits for eligible project hires and part-time employees working less than 25 hours per week in the US include retirement, select insurance benefits, and where required by law, health benefits.
