As the Talent Acquisition Operations Specialist, you will collaborate with the Talent Acquisition Team Lead to coordinate and manage recruitment operations. Your responsibilities include leading candidate onboarding, managing documentation, and coordinating background checks. You will also communicate with stakeholders, improve recruitment processes, and maintain data tracking. The role involves generating offers, advertising roles, and moving candidates through the recruitment process. You will also be creating internal and external communication templates. This role is crucial in ensuring an efficient and positive experience for candidates and stakeholders.

Position Overview:  

As the Talent Acquisition Operations Specialist, you will work with the Talent Acquisition Team Lead and team to drive project coordination and management of recruitment operations. This role will be responsible for leading and coordinating the candidate onboarding experience on a day-to-day basis.   

Key Responsibilities  

  • Coordinate and improve the candidate, consultant or contractor onboarding experience including process management of onboarding documentation; background check processes and decision-making; and orientation of new hires. 
  • Liaise frequently with various internal and external stakeholders to provide guidance, advice and updates on the onboarding process and systems used. 
  • Support the Talent Acquisition Team Lead to define and design improved recruitment workflow and processes to drive efficiencies and improve candidate and business stakeholder experiences. 
  • Manage the record keeping and accurate data tracking of trackers, applicant tracking system data and documentation filing utilizing Coordinator resources as needed for day-to-day administration. 
  • Define and create internal and external communication templates (both within the recruitment team and across the wider business). 
  • Track the onboarding of all new hires, contractors, consultants, and temporary workers. 
  • Use the applicant tracking system to generate offers, advertise roles, and move candidates through the recruitment process.  

Required Experience/Skills  

  • 1-2 years of experience in a coordination or administration role within a fast-paced professional/corporate environment. 
  • Adept at utilizing MS Office tools (Word, Excel, Outlook etc.) 
  • Able to quickly learn and utilizing digital platforms for record keeping and workflow. 
  • Superior attention to detail, organizational skills and multitasking abilities. 
  • Excellent verbal and written communication skill
