The Europe QSC Coordinator & Communications role supports the Vice President of Europe Quality Supply Chain. Responsibilities include managing the VP's schedule, handling communications, coordinating events, and supporting the high-performance team. The coordinator also manages regional communication channels, creates presentations, and assists with internal and external communications. The role requires strong organizational skills, attention to detail, and the ability to maintain confidentiality. The coordinator will also involve training apprentice in Communications and Administrative. This role is critical in ensuring smooth operations and effective communication within the department and externally.
Must have:
  • Bachelor's degree in a relevant discipline
  • Significant experience in a similar international role
  • Strong organizational and prioritization skills
  • Excellent knowledge of Microsoft Office tools
  • Ability to maintain a high degree of confidentiality
  • Fluent in English and French (written and spoken)

Job Title: Europe QSC Coordinator & Communications

Reports to: Vice President Europe Quality Supply Chain

Department: Supply Chain

Job Purpose:

Provide Vice President Europe Quality Supply Chain support in a one-on-one working relationship. The Executive Assistant serves as the primary point of contact for internal and external on organizational & operations matters to the executive including serves as a liaison to the senior management & direct reports. Organizes and coordinates executive outreach and external relations efforts, manages operating rhythms and team development, and build relationships crucial to the success of the organisation. The role also focuses on managing operating rhythms, coordinating, and managing regional channels for Communications and building the high-performance team

Key Responsibilities:

Vice President Support

  • Schedule appointments, maintain and update VP’s daily calendar
  • Provides gatekeeper and gateway role, creating win-win situations for direct access to the Executive’s time
  • Supports VP to have an effective management governance in place by ensuring stakeholders and leadership team are adhering to term of reference of meeting, following up critical tasks, pre reads being circulated including follow ups
  • Maintain confidentiality of highly sensitive information
  • Provides a bridge for smooth communication between the Executive and internal departments
  • Coordinate travel arrangements, prepare itineraries, plan logistics including the management of expense reports, visa for the VP.

Coordination Support

  • Organizing events like workshops or conferences on behalf of VP
  • Work closely with leadership team and other stakeholders and ensure the smooth flow of the Operating rhythms and the flow of the information coming from internal and external sources
  • Creating and handling presentations ensuring high professional standard, generate memos, emails, and reports when appropriate taking notes when participate in the meetings

High Performance Team

  • Supporting team working throughout the years in several initiatives to equip them with the proper tools & knowledge to be able to operate as a high-performance team and to use this tools & role modeling with their teams
  • Provide Insights Discovery training as part of personal and team effectiveness for leaders and Europe Quality Supply Chain populations
  • Mentoring and Coaching Communication Champions team and individuals related to Insights Discovery program

Regional Communications

  • Responsible in managing and coordinating regional channels (Social media Viva Engage, Comms e-mails, Let’s Talk session, session, Webinars, Regional Newsletter and Region Townhall
  • Managing and coordinate weekly, monthly, and quarterly meeting with Europe Quality Supply Chain Local Communications Champions team
  • Provides support to official announcement and internal communication related to the department
  • Create, analysis and maintain survey output coming from Regional Communications channels
  • Create and maintain distribution lists of E2E Europe Quality Supply Chain
  • Working with Comms Champions team and leadership team to create documents, videos to increase visibility of our Region through our communication channels
  • Work closely with Corporate Affairs getting material from devising messages and campaigns to be cascade to Comms Champion team and for regional channels
  • Involve in any ad-hoc event logistics either for local or regional level
  • Monitor the company’s social media and online presence and to feed in into our Region digital media
  • Responsible to train apprentice in Communications and Administrative

  • On time delivery on any administrative management and executions
  • Timely execution of operating rhythms and actions follow-up
  • Team engagement scores and feedback
  • Seamless coordination across key stakeholders
  • Consistency of delivering Communication channels to Europe Quality Supply Chain population

Ideal Background:

  • Minimum Bachelor’s degree in a relevant discipline such as business administration and management, communication, HR People and Capabilities
  • Significant experience in a similar role within an international company
  • Strong organizational skills and ability to prioritize multiple tasks seamlessly with a strong attention to detail
  • Sound knowledge of business office procedures and excellent command of Microsoft Office tools
  • Detail oriented and high quality of work, including calendar management, documents, spreadsheets, and presentations
  • Ability to exhibit a very high degree of confidentiality
  • Ability to take initiative and capacity to anticipate obstacles/issues to enable early resolution
  • Work with precision and under pressure, independent with high flexibility and assess priorities accurately, time management
  • Excellent in organization, planning and execution skills
  • Excellent in interpersonal and general communication
  • Fluent in English and French (written and spoken)
