Job Description

The Training Administrator will report to the Head of Training and will be responsible for various administrative tasks related to training programs. These tasks include validating trainee prerequisites, preparing and serving as an exam invigilator, conducting welcome briefings, ensuring trainees are registered for Computer Based Training (CBT), monitoring CBT reports, providing training materials, maintaining student and instructor training records, communicating with relevant departments, ensuring accurate record completion, implementing filing procedures, assisting in preparing training documentation, assisting the Resource Centre, assisting in internal audits, monitoring training schedules, assisting in developing best practice principles for customer service, coordinating with trainees, and coordinating with various departments to ensure a smooth training process. Additional responsibilities include safeguarding company assets, liaising with clients, registering training courses with HRDC, reviewing instructor claims, coordinating with instructors on airport pass validity, and ensuring a smooth process during A/C visits. The role requires excellent communication skills and administrative skills.

About This Role Duties and Responsibilities: 1) The Training Administrator reports directly to the Head of Training. 2) Validate trainees’ pre-requisites prior commencement of training. 3) Prepare and serve as an Exam Invigilator as and when required. 4) Conduct a welcome briefing for trainees. 5) Ensure trainees are registered for Computer Based Training (CBT) and monitor CBT reports to ensure completion of enrolled courses for trainees and instructors. 6) Ensure all training materials are provided to trainees and instructors. 7) Maintain Student Training Records. 8) Maintain all Instructors Training Files and records. 9) Communicate with the HOT/HOPT/ HoCGCT/ CGI concerning instructor and examiner authorization validity and renewal. 10) Ensure all trainees’ records are accurately completed prior to submission to AOCs/trainees. 11) Implement appropriate filing and related office procedures. 12) Assist in the preparation of training documentation as needed. 13) Assist Resource Centre on any relevant matters concerning ATO. 14) Assist in internal audits and the review of quality procedures and processes. 15) Assist in monitoring training schedules. 16) Assist in the development, implementation and monitoring of best practice principles for customer service focus and delivery. 17) Coordinate with trainees on training-related matters. 18) Coordinate with Sales Department, Scheduling Department and Resource Centre to ensure a smooth training process. 19) Coordinate with Planning Department and CAAM concerning instructor and examiner authorization validity and renewal. 20)Coordinate with Planning Department concerning instructor training requirements. 21) Responsible for safeguard company / client assets such as iPads and official stamps in the designated place. 22) Liaise with client TA / management to obtain updated and correct training manuals and materials (FCOM, FCTM, Flysmart etc.) prior to training commencement date. 23) Responsible for registration of training courses with HRDC. 24) Reviewing instructor claims prior to submission to Finance Department 25) Coordinate with Instructors on airport pass validity and renewal & E-vetting 26) Ensure smooth process during A/C visit, Warehouse visit and Food handling. 27) Consistently prepare and update Work Instruction (WI) and focus on the current task at hand. Qualifications and Skills: 1) Minimum: Diploma in Business Administration or equivalent. 2) Experience in training administration is preferable. 3) Has excellent interpersonal and communications skills, both written and verbal, and the ability to develop strong working relationships at all levels both internally and externally. 4) Self-motivated and able to work under pressure with tight datelines. 5) Good problem-solving skills. 6) Versatile and well-organized administrative skills with deep knowledge of making administrative and procedural decisions. 7) Excellent written and spoken English. 8) Customer focused.
