Job Description

The Transport Project Coordinator supports the Transportation team in all aspects of operational planning and execution for the Olympic & Paralympic Games. The role involves supporting project cadence, integrating with various functional areas, and collaborating with internal and external stakeholders. Responsibilities include supporting project planning, monitoring progress, maintaining documentation, managing stakeholders, and contributing to continuous improvement efforts. The coordinator also helps identify and manage project risks. This role is crucial for ensuring the smooth delivery of the hospitality program at major events like the Olympic Winter Games.
Must have:
  • Bachelor's degree in a related field
  • Proficiency in Excel and PowerPoint and Microsoft Office Suite
  • Strong organization and multi-tasking skills
  • Excellent communication and interpersonal skills
  • Fluency in Italian and English (both oral and written)
Good to have:
  • PMP, CAPM, or similar certification
  • Familiarity with project management tools, AirTable
  • Previous experience in international or major sporting events

THE ROLE

The primary responsibility of the Transport Project Coordinator role is to provide support to all members of the Transportation team. As a key central member of the Transportation team, you will be responsible for supporting the project cadence and Functional Area integration. You will be required to engage and work with other functional areas across On Location while collaborating with On Location Leaders, internal and external stakeholders.

ESSENTIAL FUNCTIONS & RESPONSIBILTIES

  • Team Support : Support the Transportation team in every facet of operational planning, readiness and operations to support, harmonize, enhance and track all documentation, deliverables and reporting.
  • Project Planning and Coordination,  Monitoring and Reporting: Support comprehensive project planning, including timelines, milestones, and deliverables, and Monitor project progress, adjusting plans and schedules as necessary to meet evolving requirements.
  • Project Governance and Cadence: Maintain project documentation, including meeting minutes, project logs, and status reports. Assist in preparing project governance materials and reports for senior management.
  • Documentation Management: Maintain organized project files and records in AirTable and assist in the preparation of regular project status reports and updates for various stakeholders.
  • Cross-business Collaboration: Accelerate alignment across teams, integrating different functions, defining, and driving better processes, to support their desired efficiency.
  • Stakeholder Management: Assist in liaising with internal teams and stakeholders to gather project requirements and provide updates.
  • Continuous Improvement: Support process improvements and best practices to enhance project efficiency, effectiveness, and overall outcomes.
  • Risk Assessment and Mitigation: Help identify, log, and manage potential project risks and issues, and assist in developing mitigation strategies.

QUALIFICATIONS

To perform this job successfully, the candidate must be able to perform each essential duty above at the highest levels. The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • Bachelor's degree in Project Management, Hospitality, Business Administration, Event Management, or a related field. PMP, CAPM, or similar certification is a plus.
  • Proficiency in Excel and Powerpoint with a strong knowledge of the whole Microsoft Office suite
  • Familiarity with project management tools, with experience using AirTable a plus
  • Previous experiences in international events and/or major sporting events with a knowledge of the transport challenges associated will be highly considered.
  • Strong organization and multi-tasking skills in order to work efficiently in a fast-paced, deadline-driven environment
  • Pragmatic with attention to details and ability to catch errors before they impact the final product or outcome while
  • Excellent communication and interpersonal skills, with the ability to effectively interact with all project stakeholders and arrange information in a useful manner
  • Practices attentive and active listening, with flexibility and adaptability, in order to determine what drives results
  • Continually strives for self-development and discovering better means of accomplishing both personal and professional goals
  • Flexibility to work extended hours and weekends during peak project phases.
  • Fluency in Italian and English (both oral and written) is required
