Job Summary
Job Description
Zipdev is looking for an organized and reliable Virtual Assistant to provide administrative support to leadership. The role is fully remote, with the work schedule aligned with the team’s EST hours from 9:00am-5:30pm. Responsibilities include executive support such as calendar management and ad hoc projects; sales support, like drafting proposals and scheduling meetings; team recruitment support through initial screening and interview coordination; Clockify time tracking report generation; light data entry in QuickBooks and report generation; and accounts receivable tasks, including timely follow-ups with clients regarding outstanding invoices.
Must have:
- Executive support - calendar management and ad hoc projects.
- Sales support - assist drafting proposals and scheduling meetings.
- Team recruitment - assist with screening and interview scheduling.
- Generate and analyze time tracking reports.
- Light data entry and report generation in QuickBooks.
- Follow up with clients on outstanding bills.

Job Details
Zipdev is seeking a highly organized and reliable Virtual Assistant to provide exceptional administrative support to members of our leadership. The ideal candidate is proactive, detail-oriented, and capable of handling multiple tasks. This is a fully remote position with an expected work schedule that aligns with our team’s EST hours from 9:00am-5:30pm.
Key Responsibilities:
- Executive support - calendar management, ad hoc projects as needed.
- Sales support - assist drafting proposals, calendar management, scheduling, and coordinating sales meetings for the team.
- Team recruitment support - assist James with initial screening, scheduling and coordinating interview process – ensuring a smooth interview experience for job applicants.
- Clockify - generate and analyze time tracking reports for insights and recommendations.
- QuickBooks - light data entry of bank transactions and generating reports for James for business insights.
- Accounts Receivable - following up with clients on outstanding bills in a friendly and timely manner
