Job Description

Ubisoft is seeking a Workplace Manager to design, enhance, and operate a workplace that reflects the company's values and ambitions, ensuring a productive, safe, and inspiring environment. This role involves overseeing a wide range of administrative, facilities, and operational functions, supporting studio management, and contributing to the overall employee experience through effective space management, procurement, health and safety initiatives, and workplace improvements. Responsibilities include managing daily office operations, coordinating internal events, monitoring employee satisfaction, managing the workplace budget, and acting as a liaison with building management. The role also involves supporting workplace design and renovation projects, managing procurement and vendor relationships, and ensuring health, safety, and security oversight. A minimum of 5 years of experience in Office & Administration Management and 2 years in Procurement is required, along with proficiency in MS Office and excellent English communication skills.

JOB DESCRIPTION

As Workplace Manager, you are responsible for designing, enhancing, and operating a workplace that reflects Ubisoft's values and ambitions, ensuring a productive, safe, and inspiring environment for all staff.

You bring passion and organizational skills to oversee a wide range of administrative, facilities, and operational functions. You will support studio management and contribute to the overall employee experience through effective space management, procurement processes, health and safety initiatives, and workplace improvements.

RESPONSIBILITIES

1. Workplace Operations & Administrative Management

  • Serve as the first point of contact for all workplace-related matters and facilitate communication with studio teams.
  • Oversee daily office operations including building management, stationery, mail/postage, travel and accommodations, food services, and general supplies.
  • Coordinate with internal teams and assist in planning internal events (e.g., staff celebrations, birthdays) in collaboration with the Communications department.
  • Monitor and evaluate employee satisfaction through surveys and feedback mechanisms; propose improvements as needed.
  • Supervise and support the duties of cleaning staff and tea service personnel.
  • Maintain up-to-date records of office layout and seating plans.
  • Manage the workplace budget: forecast, monitor, and report on all workplace-related expenses in alignment with studio financial targets. Roll out and maintain workplace processes, tools, and policies to support day-to-day efficiency.
  • Act as the liaison with building management and landlords for issues related to leasing, repairs, and service quality.
  • Welcome visitors and manage phone communications as needed.

2. Workplace Design & Renovation Projects

  • Monitor trends in workplace strategy, space utilization, and employee experience; make proactive recommendations in line with evolving studio needs.
  • Support the design and planning of renovations, refits, and workspace layouts to ensure functionality, comfort, and alignment with studio branding.
  • Lead and coordinate improvement projects such as office moves, furniture installations, or floor upgrades.

3. Procurement & Vendor Management

  • Serve as the primary point of contact for office vendors and service providers, ensuring consistent quality and timely service delivery.
  • Manage the full procurement cycle: identifying needs, issuing purchase orders, and tracking deliveries and invoices.
  • Research and engage with competitive suppliers to provide cost-effective and reliable services.
  • Maintain and monitor contracts to ensure compliance, renewals, and performance tracking.
  • Ensure all procurement requests are fulfilled on time and aligned with company procedures.

4. Health, Safety, and Security Oversight

  • Support the implementation of workplace health and safety policies in compliance with local regulations.
  • Coordinate with building security and internal stakeholders to ensure a safe and secure work environment.
  • Report safety issues or incidents and follow up on corrective actions.
  • Promote and support sustainability efforts such as recycling, waste reduction, energy efficiency, and plastic-free initiatives.

QUALIFICATIONS

  • At least 5 years of experience in Office & Administration Management.
  • At least 2 year of experience in Procurement.
  • Proficiency in MS Word, MS Excel, Powerpoint, and Outlook.
  • Excellent command of English in reading, writing, listening, and speaking;
  • Familiar of general administration and office protocol;
  • Highly organized and detail-oriented.
  • Strong interpersonal and communication abilities.
  • Capable of multitasking and working under pressure.
  • Proactive, resourceful, and solution-oriented.
  • Demonstrates initiative and works independently with minimal supervision.
  • Curious, eager to learn, and adaptable to evolving workplace demands.
