The Role

We are on the search for the next amazing team member for our Creative Department! The Creative Office Administrator will report to the Head of Creative Operations and is an extension of that position as support for the VP of Creative. This role is crucial in keeping the momentum of the creative team’s day-to-day work on point, and supporting the basic needs of the creative personnel, including documentation and communications for departmental information and general administrative support.

The ideal candidate for this role will have a "servant leadership" mindset, an outgoing personalty (to match our incredible team), and a proactive style of working. If you enjoy helping an office run smoothly, are highly organized, and have an interest in learning the ins-ands-outs of Creative Operations, this role could be a great fit.

This role is onsite at our Creative Studio in Louisville, Kentucky. Due to the nature of this role, remote candidates will not be considered, and relocation will not be provided.

Key Responsibilities

DELIVERIES AND RECEIVABLES

  • Oversee shipping and receiving of parcels from our major carriers
  • Keep incoming and outgoing shipments organized and visible for creative recipients
  • Maintain shipping equipment and shipment process

DOCUMENTATION

  • Documenting, disseminating, emailing, organizing, and storing important documents and personnel references – have them easily accessible (employee reference manuals, team and departmental processes, invoices/receipts for departmental purchases, internal and 3rd-party contracts, etc.)
  • Keep up-to-date expense/spending documentation for the Creative Financial Analyst, as needed

PERSONNEL SUPPORT AND TEAM CULTURE

  • General personnel administrative duties, such as ordering of lunches, supplies, equipment and assist with scheduling outside support for maintenance and I.T. issues.
  • Maintain and update digital references and general information for Creative Department in Sharepoint
  • Support for running Creative Team meetings and deck setup
  • Meeting notes documentation and sharing for departmental meetings
  • Maintain visual launch calendar and updates
  • Assisting with the coordination of company events for the Creative department
  • Plan and manage Creative Team events
  • Assist and ensure implementation of new hire on-boarding and needed equipment
  • Maintain, support and document: departmental equipment needs, training facilitation and follow-up
  • Manage access to building and key fob usage

Requirements

  • Effective verbal/written communication skills and communication adaptability for different teams
  • Proficient knowledge working in MS Office applications (Teams, Outlook, Excel, Word, Powerpoint, Sharepoint)
  • Proficient knowledge working in Adobe Acrobat
  • Team-oriented and teamwork-driven; self-motivated
  • Ability to juggle many administrative tasks consistently in a quick-paced environment
  • Ability to pivot with a positive attitude
  • An effective level of emotional intelligence

 

Great-to-have skills

  • Basic understanding of Creative Department workflow
  • Experience working with different creative teams
  • Basic understanding of the Marketing process
