Job Description

The Executive Assistant to the Country Manager is an integral part of our growing business and team in Taiwan. This role provides high-level administrative and expert language support, managing schedules, coordinating meetings, and handling communications in both Mandarin and English. It requires excellent organizational, communication, and technical skills, including proficiency in Microsoft Office Suite. The ideal candidate is highly professional, detail-oriented, and capable of maintaining confidentiality while managing multiple tasks in a dynamic, fast-paced environment.
Must have:
  • Manage the Country Manager's schedule with Taiwan customers and stakeholders, including coordinating meetings, and arranging travel itineraries.
  • Serve as a point of contact between the Country Manager and external Taiwan stakeholders, handling communications in both Mandarin and English.
  • Prepare, translate, and edit correspondence, reports, presentations, and other documents.
  • Organize and prepare for meetings, including setting agendas, taking minutes, and following up on action items.
  • Assist in managing and tracking projects and initiatives, ensuring deadlines are met.
  • Handle sensitive information with utmost discretion and maintain confidentiality.
Good to have:

  • Knowledge of and/or experience working with Taiwan Government, including Ministry of Defense and/ or Military services

What you'll do

  • Administrative Support: Manage the Country Manager's schedule with Taiwan customers and stakeholders, including coordinating meetings, and arranging travel itineraries.
  • Communication: Serve as a point of contact between the Country Manager and external Taiwan stakeholders, handling communications in both Mandarin and English.
  • Document Management: Prepare, translate, and edit correspondence, reports, presentations, and other documents.
  • Meeting Coordination: Organize and prepare for meetings, including setting agendas, taking minutes, and following up on action items.
  • Project Management: Assist in managing and tracking projects and initiatives, ensuring deadlines are met.
  • Confidentiality: Handle sensitive information with utmost discretion and maintain confidentiality.

Required qualifications

  • 1-2 years of experience as an Executive Assistant, Program / Project Coordinator or similar role, working in a multilingual, technical environment.
  • Language Skills: Fluency in Mandarin and English (both written and spoken), with experience working in technical terminology (Hardware, software).

Preferred qualifications

  • Education: Bachelor’s Degree
  • Government Knowledge: Knowledge of and/or experience working with Taiwan Government, including Ministry of Defense and/ or Military services.

  • Strong written, verbal and interpersonal communication skills.
  • Excellent organizational and time-management skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
  • Ability to work independently and as part of a team.
  • High level of professionalism and discretion.
  • Reliable, Proactive with Exceptional attention to detail.
  • Additional miscellaneous tasks as required for the success and growth of the business and the team.
