Job Description

We are seeking a highly skilled and professional COO Personal Assistant to join our team in Wrocław, Poland. As the right hand to our Chief Operating Officer, you will play a crucial role in managing day-to-day operations, coordinating high-level meetings, and ensuring the smooth running of the COO's office.

Your daily tasks: 

  • Manage the COO's calendar, including scheduling meetings, appointments, and travel arrangements.
  • Act as the primary point of contact for internal and external stakeholders, handling communications on behalf of the COO.
  • Prepare and edit correspondence, presentations, and reports.
  • Organize and maintain filing systems.
  • Coordinate complex travel itineraries, including international trips.
  • Manage expenses and prepare expense reports.
  • Assist in the preparation of board meetings and other high-level corporate events.
  • Handle confidential and sensitive information with the utmost discretion.
  • Anticipate the COO's needs and proactively solve problems.
  • Liaise with other executives, board members, and key stakeholders.
  • Perform ad hoc projects and research as assigned by the COO.

Qualifications

  • 3-5 years of experience as an executive assistant or in a similar role.
  • Exceptional organizational and time management skills.
  • Strong proficiency in Google Workspace and Microsoft Office tools.
  • Excellent verbal and written communication skills in English and Polish.
  • Ability to handle confidential information with discretion.
  • Demonstrating self-confidence and assertiveness in effective communication.
  • Skilled in overseeing and managing assigned financial budgets.
  • Familiarity with accounting systems, including invoice reconciliation and cost allocation capabilities.
  • Strong analytical skills and problem-solving abilities.
  • Proven experience in calendar management and travel planning.
  • Ability to multitask, prioritize, and work efficiently in a fast-paced environment.
  • Attention to detail and commitment to delivering high-quality work.
  • Experience working in a corporate environment and understanding of business operations.
  • Ability to anticipate needs and take initiative.
  • Driving license (cat B).

Nice to have:

  • Bachelor's degree in Business Administration, Communications, or related field (preferred).
  • Ability to use AI tools to optimize and automate daily tasks.
  • Understanding of the gaming/entertainment industry.
