Job Description

The Corporate Secretary support staff will assist with essential administrative duties, including organizing governance documents, managing data records, and preparing materials for Board and committee meetings. This role ensures smooth day-to-day operations, supports compliance with regulatory, corporate governance requirements, and coordinates logistics and documentation for General Shareholders’ Meetings and the Company annual report.
Must have:
  • Assist in preparation, formatting, and distribution of Board and committee meeting materials.
  • Maintain and update governance and corporate records.
  • Support scheduling and coordination of meetings, including logistics.
  • Handle administrative tasks such as document printing, filing, and correspondence.
  • Assist in tracking regulatory filing deadlines and supporting compliance documentation.
  • Coordinate logistics and documentation for General Shareholders’ Meetings and annual report.
  • Liaise with internal and external teams for corporate governance materials.
  • Understand the payments process related to corporate secretary activities.
  • Diploma or bachelor's degree in business administration, law, or related field.
  • Minimum 1-2 years of administrative or corporate support experience.
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite and document management systems.
  • Ability to handle confidential information with discretion and professionalism.
  • Effective written and verbal communication skills.
  • Proactive, dependable, and able to manage multiple priorities.

What You Will Do

  • Assist in the preparation, formatting, and distribution of Board and committee meeting materials, ensuring accuracy, confidentiality, and compliance.
  • Maintain and update governance and corporate records in an organized and secure manner.
  • Support the scheduling and coordination of meetings, including logistics for the Board, room bookings, and calendar management.
  • Handle administrative tasks such as document printing, filing, and correspondence related to corporate governance.
  • Assist in tracking regulatory filing deadlines and supporting compliance documentation.
  • Coordinate with multiple stakeholders to manage logistics and prepare documentation for General Shareholders’ Meetings and the annual report.
  • Liaise with internal teams and external service providers to ensure timely and accurate delivery of corporate governance materials.
  • Understand the payments process related to corporate secretary activities.

What You Will Need

  • Diploma or bachelor's degree in business administration, law, or a related field.
  • Minimum 1–2 years of administrative or corporate support experience, preferably in a governance or legal environment.
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and document management systems.
  • Ability to handle confidential information with discretion and maintain a high level of professionalism.
  • Effective communication skills, both written and verbal, with the ability to interact confidently across all levels of the organization.
  • Proactive, dependable, and able to manage multiple priorities in a fast-paced environment.
