Divisions Maintenance Group (DMG) is seeking an experienced Executive Assistant to support senior-level executives. The role involves managing all aspects of the executive's professional and personal life, including coordinating meetings, preparing documents and presentations, managing calendars, and handling travel arrangements. The Executive Assistant will also manage company-wide events, assist with strategic projects, and maintain confidentiality. This position requires excellent organizational skills, the ability to anticipate needs, and strong communication abilities to interact with all levels of the organization. Must have:

Job Summary:

DMG is seeking an executive assistant who has experience managing executive or C-suite level members. As the Executive Assistant for Divisions Maintenance Group, you will be responsible for keeping every aspect of our executive officersÕ lives running smoothly. This includes helping manage the complexities of work, travel, family, and social obligations for the executive or C-suite member.

The ideal candidate must have the ability to take items off the executive or C-suite memberÕs professional and personal plates to simplify their lives.

 

What You'll Do:

  • Coordinate internal/external meetings and prepare and distribute agendas or appropriate materials including scheduling, follow-through, and follow-up.
  • Create, format, edit, and finalize reports, documents, email communications, and presentations with accuracy and high attention to detail.
  • Manage calendars, schedules, and preparedness for meetings.
  • Ensure the direct reports of the Executive or C Suite Members are prepared for their meetings.
  • Manage and coordinate companywide events for all employees or other key professional groups the Executive or C Suite Member may be involved in.
  • Strategically and logically, think and act on the executives' behalf.
  • Drive proactive calendar management to protect and maximize the executiveÕs time and eliminate disruptions.
  • Manage social media in cooperation with marketing.
  • Manage travel arrangements and coordinate highly detailed itineraries, open to change with flexibility and adaptability, domestic and international.
  • Manage and stay on budget including monthly expense reports for executives.
  • Screen and prioritize inbound communications to ensure the executivesÕ time is at a premium.
  • Own or assist with strategic projects with great organization, planning, and completion.
  • Other duties as assigned by management and executive team.

 

What You Need:

  • 3+ years of experience supporting senior-level executives as an Executive Assistant.
  • Excellent organizational skills with the ability to anticipate needs and priorities.
  • Demonstrated experience using organizational tools.
  • Documented experience with process improvement and driving change to simplify and organize the work (be disruptive!).
  • Demonstrated experience working directly with vendors on events and projects and staying on time, on budget, and on task.
  • Demonstrated experience communicating using tools and technology.
  • Demonstrated experience showing high attention to detail.
  • Ability to work under pressure and manage interruptions; must be able to work calmly under stressful situations.
  • Must have demonstrated experience of acting with urgency.
  • Attention to detail, capable of proofing your own work and the work of others.
  • High sense of confidentiality and professionalism.
  • Excellent verbal and written communication skills and the ability to interact with all levels of the organization.
  • Comfortable with data analytics and complex documents (such as contracts) and taking proper action.
  • Comfortable with technology including use of excel and Microsoft Office Suite.
  • Must be comfortable creating presentations and documents.
  • Ability to manage the stress of a fast-paced environment.
  • Ability to meet the in-Weet the in-person requirements of the team and/or business needs.
