The Executive Assistant provides high-level administrative and personal support to multiple Executives. Core responsibilities include managing calendars, booking travel, handling expenses, and assisting with additional projects as needed. The role requires a confident communicator with the necessary maturity, discretion, and presence to work with executives. The Executive Assistant will also help plan cultural and social events. The ideal candidate should be detail-oriented, possess a can-do attitude, and be an adaptable team player. This role reports to the Chief Executive Officer, Americas. You will work closely with internal and external teams across Hogarth and WPP.
Must have:
  • 5+ years of experience as an Executive Assistant.
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite.
  • Ability to work independently and anticipate needs.
  • Openness to working flexible hours when needed.

What does an Executive Assistant do at Hogarth?

The Executive Assistant provides comprehensive high-level admin, professional, and personal support multiple Executives. Core responsibilities include calendar management, travel booking, expenses, and additional projects as needed. The ideal candidate must be a confident communicator with the level of maturity, discretion, and presence necessary to work with all levels of executives. An Executive Assistant at Hogarth will also help plan cultural and social events for the team including town halls, large meetings, happy hours etc. The ideal candidate will have a strong interest in the marketing industry, will possess a can-do attitude, be highly detail orientated and be an adaptable team player.

Reporting lines and key stakeholders

This role reports to the Chief Executive Officer, Americas

You will work closely with internal and external teams across Hogarth and WPP

Responsibilities

  • Provide high-level administrative support to 1–2 Executives, including managing complex calendars across platforms, scheduling meetings, and coordinating across multiple time zones
  • Coordinate complex international and domestic travel, including itinerary planning, document preparation, and timely expense reconciliation in line with company policies
  • Demonstrate strong written and verbal communication skills, and build trusted relationships with Executive Assistants, cross-functional stakeholders, and leadership teams globally
  • Prepare and manage content and logistics for internal and external meetings and events (e.g., Town Halls), including agendas, presentations, technical setup, and follow-ups, all with minimal to no oversight
  • Maintain exceptional organization and attention to detail in a fast-paced, dynamic environment
  • Anticipate Executive needs and act with discretion, sound judgment, and a high level of professionalism
  • Liaise regularly with the Executive Leadership Team and fellow EAs to ensure alignment and smooth operations
  • Assist with special projects and strategic initiatives, tracking progress and ensuring deadlines are met
  • Conduct research and gather data to support executive decision-making and planning

Requirements

  • Minimum of 5 years of experience as an Executive Assistant supporting senior-level executives, preferably in a global or multinational organization
  • Exceptional organizational and time-management skills, with the ability to prioritize tasks and manage multiple projects simultaneously
  • Strong written and verbal communication skills, with an emphasis on professionalism and attention to detail
  • Openness to working flexible hours when needed
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), familiarity with virtual meeting platforms (Zoom, Teams, etc.), and expense management tools such as Concur
  • Ability to work independently, take initiative, and anticipate the needs of the executives
  • Flexibility to accommodate varying time zones and occasional travel requirements
  • This role requires the ability to work onsite in the New York Office

The base salary range for this position at the time of this posting is indicated below. Individual compensation varies based on job-related factors, including location, business needs, level of responsibility, experience, and qualifications. Pay Range

$50,000 to $105,000
