Steel City Interactive (SCI) is seeking a Facilities & Office Assistant to ensure the smooth and efficient running of their professional office environment in Sheffield. This role involves maintaining a safe, well-kept, and welcoming workplace for staff and visitors. Key responsibilities include managing office supplies, addressing maintenance issues, coordinating staff events, and booking business travel and accommodation. The ideal candidate will be proactive, organised, and possess strong communication skills, contributing to a positive and productive studio atmosphere.
Must have:
  • Ensure the office environment is clean, tidy, and fully stocked with necessary supplies.
  • Act as the first point of contact for reporting maintenance issues and liaising with contractors or service providers.
  • Conduct regular checks of meeting rooms, communal areas, and equipment to ensure functionality.
  • Set up and rearrange meeting rooms for internal use or external visitors.
  • Monitor and respond to facilities-related requests from staff via email or internal systems.
  • Handle incoming/outgoing post and deliveries.
  • Support basic office security and access control procedures.
  • Book travel and accommodation for staff in line with company policy and budgets.
  • Support the organisation of internal events such as team meetings, training sessions, and staff socials.
  • Liaise with vendors for event catering, room bookings, and supplies.
  • Maintain records of travel bookings and event spend.
  • Previous experience in an office administration or facilities support role.
  • Good organisational and multitasking skills.
  • Confident using MS Office (Outlook, Word, Excel) and booking platforms.
  • Strong communication and interpersonal skills.
  • Proactive and helpful attitude with a willingness to take initiative.
  • Ability to handle sensitive information with discretion.
Good to have:
  • Experience in booking business travel or coordinating small events
  • Familiarity with health and safety procedures in an office setting
  • First Aid or Fire Warden training (or willingness to undertake training)

The Role

To support the smooth and efficient running of a professional office environment, ensuring the workplace is safe, well-maintained, and welcoming for staff and visitors. The role also involves light coordination of staff events and booking travel and accommodation for business purposes.

Responsibilities

  • Ensure the office environment is clean, tidy, and fully stocked with necessary supplies (stationery, kitchen items, etc.).
  • Act as the first point of contact for reporting maintenance issues and liaising with contractors or service providers.
  • Conduct regular checks of meeting rooms, communal areas, and equipment (e.g. photocopiers, coffee machines) to ensure functionality.
  • Set up and rearrange meeting rooms for internal use or external visitors.
  • Monitor and respond to facilities-related requests from staff via email or internal systems.
  • Handle incoming/outgoing post and deliveries.
  • Support basic office security and access control procedures.

Travel & Event Coordination:

  • Book travel and accommodation for staff in line with company policy and budgets.
  • Support the organisation of internal events such as team meetings, training sessions, and staff socials.
  • Liaise with vendors for event catering, room bookings, and supplies.
  • Maintain records of travel bookings and event spend.

Working Conditions:

  • Office-based role, typically Monday to Friday.
  • Occasional early starts or later finishes during events or office moves.
  • Occasional travel to a Leamington Spa satellite site (mileage reimbursed).
  • Some light lifting or manual handling involved (e.g. moving supplies or setting up rooms)

Knowledge, Skills & Experience

  • Previous experience in an office administration or facilities support role.
  • Good organisational and multitasking skills.
  • Confident using MS Office (Outlook, Word, Excel) and booking platforms (e.g. Trainline, hotel booking portals).
  • Strong communication and interpersonal skills.
  • Proactive and helpful attitude with a willingness to take initiative.
  • Ability to handle sensitive information with discretion.

Desirable

  • Experience in booking business travel or coordinating small events.
  • Familiarity with health and safety procedures in an office setting.
  • First Aid or Fire Warden training (or willingness to undertake training).
