Job Description

This HR Administrator role requires exceptional organizational and communication skills, meticulous attention to detail, and a proactive approach to problem-solving. A strong commitment to customer service and fostering positive relationships is essential, along with an understanding of employment law. Key responsibilities include serving as the first point of contact for HR queries, preparing employment documentation, and administering HR processes like onboarding, offboarding, work permits, employee changes, and payroll support. The role also involves maintaining digital personnel files, assisting with induction programs, updating employee records, generating reports, and providing operational support for HR initiatives.
Must have:
  • Serve as the first point of contact for HR-related queries.
  • Prepare employment-related documentation using standard templates.
  • Administer the full suite of HR processes, including Onboarding, Offboarding, Work Permits, Employee Changes, and Payroll support.
  • Maintain and update digital personnel files securely and in compliance with regulations.
  • Assist in the facilitation of the induction programme, including material preparation and HR onboarding module presentation.
  • Maintain up-to-date employee records across internal systems, databases, and shared drives.
  • Generate reports from HR systems upon request from stakeholders.
  • Provide operational support in the delivery of HR initiatives, projects, and programmes.
  • Coordinate travel and accommodation arrangements for new hires as required.

Key Responsibilities:

  • Serve as the first point of contact for HR-related queries, including but not limited to policies on absence, vacation leave, and similar matters.
  • Prepare employment-related documentation using standard templates, such as employment contracts, addendums, and formal correspondence.
  • Administer the full suite of HR processes, including:
  • Onboarding: Coordinate the end-to-end onboarding of new employees, including account creation in the HRIS, registration with local authorities, and enrolment in health insurance and benefit schemes.
  • Offboarding: Manage exit procedures to ensure compliance and completeness in line with company protocol.
  • Work Permits: Oversee the timely processing of both new applications and renewals, in accordance with established procedures.
  • Employee Changes: Process employment status changes accurately and in a timely fashion.
  • Payroll: Support the payroll function by adhering to defined departmental practices, ensuring timely and accurate submissions.
  • Maintain and update digital personnel files, ensuring they are securely stored and filed in accordance with internal protocols, local legal standards, and European data protection regulations.
  • Assist in the facilitation of the induction programme, including the preparation of induction materials and presentation of the HR onboarding module.
  • Maintain up-to-date employee records across internal systems, databases, and shared drives.
  • Generate reports from HR systems upon request from stakeholders.
  • Provide operational support in the delivery of HR initiatives, projects, and programmes.
  • Coordinate travel and accommodation arrangements for new hires as required.

Person Specification:

  • Impeccable attention to detail and a high standard of accuracy in all work.
  • Proven ability to adhere to established procedures and protocols.
  • Strong IT literacy, including proficiency in Microsoft Office, JIRA, HRIS platforms, and advanced Excel skills.
  • Experience working with systems and data, with strong analytical skills to interpret and present information clearly.
  • Excellent organisational skills with the ability to prioritise effectively in a dynamic, fast-paced environment.
  • Outstanding verbal and written communication skills.
