Job Summary

Job Description

We are seeking a detail-oriented and reliable Immigration Administrator to join our Immigration Services team. This role supports the physical processing of visa petitions and legal documentation, ensuring accurate printing, packaging, and expedited shipping to the appropriate government agency, as well as handling sensitive immigration records and performing other immigration related operational duties as required. The ideal candidate will have a high level of attention to detail, be comfortable handling confidential documents, and be able to manage time-sensitive requests in a fast-paced legal/immigration environment.
Must have:
  • Review, print, compile, and quality-check immigration petitions and supporting documents per government agency’s standards and internal protocols.
  • Generate shipping labels, package physical filings, schedule deliveries, and track and manage sensitive incoming physical mail.
  • Rename and distribute approval notices and government correspondence via secure systems; liaise with clients for shipping details.
  • Manage office supply inventory, process vendor orders, and reconcile shipping and operations expenses in line with company policies.
  • Document processes, create Standard Operating Procedures (SOPs) and assist with other immigration related operational duties as required.
  • Process and ship time-sensitive or confidential materials, ensuring compliance with data protection and privacy protocols.
Good to have:
  • Experience in a similar role working in US Immigration as a legal secretary, administrative assistants or similar.
  • Detail orientated and excellent organizational and communication skills
  • Ability to work in fast paced startup environment
  • Ideal candidate would be located in close proximity to a FedEx or UPS location and in PST timezone

Role Overview

We are seeking a detail-oriented and reliable Immigration Administrator to join our Immigration Services team. This role supports the physical processing of visa petitions and legal documentation, ensuring accurate printing, packaging, and expedited shipping to the appropriate government agency, as well as handling sensitive immigration records and performing other immigration related operational duties as required. The ideal candidate will have a high level of attention to detail, be comfortable handling confidential documents, and be able to manage time-sensitive requests in a fast-paced legal/immigration environment.

Key Responsibilities

  • Document & Filing Preparation: Review, print, compile, and quality-check immigration petitions and supporting documents per the government agency’s standards and internal protocols.
  • Shipping & Logistics Management: Generate shipping labels, package physical filings, schedule deliveries, and track and manage sensitive incoming physical mail (e.g., RFE responses, medical packets).
  • Client Document Coordination: Rename and distribute approval notices and government correspondence via secure systems; liaise with clients for shipping details.
  • Administrative Operations: Manage office supply inventory, process vendor orders, and reconcile shipping and operations expenses in line with company policies. Document processes, create Standard Operating Procedures (SOPs) and assist with other immigration related operational duties as required.
  • Sensitive Document Handling: Process and ship time-sensitive or confidential materials, ensuring compliance with data protection and privacy protocols.

Preferred Qualifications

  • Experience in a similar role working in US Immigration as a legal secretary, administrative assistants or similar.
