Sesame is seeking an Office Manager & Executive Assistant to provide high-level administrative support to the Head of Engineering and manage office operations. The role involves overseeing facilities, managing vendor relationships, and fostering a collaborative workplace culture to ensure the Bellevue office runs efficiently. Responsibilities include managing the Head of Engineering's complex calendar, planning detailed travel itineraries, preparing meeting materials, and identifying process improvements. The ideal candidate should be highly organized, adaptable, and possess excellent communication and problem-solving skills.

About the Role

As a key member of the team, you’ll not only provide high-level administrative support to the Head of Engineering but also play a crucial role in managing office operations. From overseeing facilities and vendors to fostering a collaborative workplace culture, you’ll ensure the Bellevue office runs efficiently and employees have the resources they need to thrive. Responsibilities:

  • Office Operations & Facilities Management: Oversee day-to-day office operations, ensuring a productive and welcoming office environment. Manage vendor relationships, office supplies, and facility needs; proactively address and resolve operational issues. 

  • Workplace Experience & Culture: Foster a positive and engaging office culture by coordinating team events, celebrations, and employee experiences that bring people together.

  • Executive Support: Manage the Head of Engineering’s complex calendar, balancing priorities, meetings, and time zones with discretion and foresight. Ability to take on additional responsibilities as the leadership team scales. Plan and manage detailed travel itineraries, including flights, accommodations, and logistics, proactively addressing any issues.

  • Meeting & Communication Support: Prepare agendas, presentations, and briefings to ensure executive readiness. 

  • Administrative Efficiency: Identify and implement process improvements that streamline operations and boost team productivity. Support key initiatives to deliver high-quality projects or events. 

Required Qualifications:

  • 5+ years of experience as an Executive Assistant to C-suite or senior executives.

  • Demonstrated success managing complex schedules, travel logistics, and sensitive communications.

  • Strong organizational skills with laser-sharp attention to detail and follow-through.

  • Excellent interpersonal and communication skills with the ability to build trust and rapport across all levels.

  • Thrives in fast-paced environments with shifting priorities; calm under pressure, and solutions-oriented.

  • Proficiency in Google Workspace, Slack, Notion, and expense reporting tools.

  • Experience in event planning, project coordination, or facilities management is a plus. 

Full time in office, Bellevue, WA. Monday - Friday, 8:30 AM start.
