Job Description

As a Project Coordinator within the Project Management Office at insightsoftware, you will serve as a central point of operations for the German speaking team and customers. Your responsibilities will include facilitating administrative activities related to customer and partner contracting, invoicing, and general recordkeeping. You will also assist customers with their service hours, contracts, and invoicing. Key tasks involve developing and managing operational reporting, maintaining the professional services application, validating project information accuracy at initiation, assigning resources, and ensuring project hours are kept in order. You will re-allocate hours as needed, send periodic hours balance reports to clients, and close projects upon completion. Additional operational and administrative duties may be assigned by leadership.

Job Description

As a member of the Project Management Office, the Project Coordinator is a central point of operations for our German speaking team and customers: 

  • Work collaboratively with the Professional Services team to facilitate administrative activities concerning customer and partner contracting, invoicing, and general recordkeeping. 
  • Work with customers to provide information and assistance with their service hours, contracts, invoicing and other items as needed. 
  • Develop and manage operational reporting.  
  • Maintain our professional services application and perform coordination activities including (but not limited to):  
  • Validate project information accuracy, upon project initiation 
  • Assign resources to projects and maintain project hours in good order 
  • Re-allocate hours across assignments (if needed) 
  • Send clients periodic hours balance reports 
  • Close project (based on check list) once work concludes. 
  • Other duties operational and administrative in nature that may be requested from leadership.  

Qualifications

Languages: 

  • Native German & fluency in English

Skill Requirements: 

  • Project coordination and/or operational experience within a Professional Services environment.  
  • Experience as project analyst/coordinator/junior role. 
  • Exposure to financial reporting/accounting product implementation would be an added advantage. 
  • Customer management/client facing experience. 
  • Working with technical and business consultants to ensure the successful delivery of services for ISW customers.  
  • Follow defined Global PMO methodology, standards and processes. 
  • Be able to multitask, managing several projects at different lifecycle stages, while following defined processes.  
  • Demonstrate excellent communication skills and analytical, problem-solving capability. 
  • Demonstrate outstanding organizational skills with a large volume of tasks. 
  • Manage changing situations while maintaining a positive view towards delivery.  
  • Experience with industry-standard business and productivity tools (Microsoft Excel and Word, timekeeping systems, and collaboration tools). 
  • Strong analytical, problem solving, and organizational skills. 
  • Excellent communication skills and strong professionalism.
