The Project Planning and Expediting Specialist, based in Tulsa, will focus on Flare products and technical requirements, supporting and expediting project execution. Key responsibilities include assisting in procurement plan development, maintaining accuracy, supporting milestone schedules, tracking critical documents and quotations, coordinating shipping, monitoring production progress, following up on correspondence, negotiating proposals, providing status reports, assisting with project presentations using Microsoft Office and web-based systems, and identifying skill development needs. Travel of 10%-20% is required.

Job Description:
The Project Planning and Expediting Specialist position will be based out of Zeeco’s Tulsa office. The position will require knowledge of all Zeeco products, with a focus on Flare products and technical requirements. The position will be responsible for supporting and expediting project execution.
Job Duties:
· Assist in the development of the procurement plan, maintaining its accuracy and relevance throughout the project lifecycle.
· Support the creation and ongoing updates of high-level project milestone schedules, including critical dates for:
- Document submissions and approvals
- Invoice submission and collection timelines
- Shop release milestones
- Major purchase order placement
- Shipping schedules
· Proactively track and obtain critical documents (such as ITP, drawings, NDE Procedures, WPS/PQRs and Weld Maps, etc.) and quotations from subvendors to ensure timely submissions.
· Coordinate shipping arrangements with vendors to ensure adherence to project schedules and logistical requirements.
· Conduct regular follow-ups with vendors and internal manufacturing teams to monitor production progress, secure schedule and forecast details, and update the project team on inspection and quality plans.
· Follow-up on any written or verbal correspondence with vendor’s during quotation phase.
· Visits with vendors post-proposal issuance to discuss and negotiate proposal.
· Provide status reports to management on overall project status and activities
· Assist with the creation and modification of project execution presentations / documents using Microsoft Office, Excel / PowerPoint / Publisher / Project and all Web based systems.
· Works with management to determine updated skills and tools needed to continue improving performance and knowledge.
· Performs other duties as may be assigned that are appropriate based on skills and experience.
· Be able and willing to travel 10%-20% of the time, both domestic and international.
Qualifications:
· Bachelor’s degree or equivalent required
· 5+ years of professional experience
