Responsibilities include managing the full lifecycle of RFP/RFI/RFQ responses, collaborating with sales, product, marketing, and design teams, supporting strategic storytelling, taking ownership of bid and internal stakeholder management, and maintaining proposal content libraries. The ideal candidate should have a strong understanding of RFP processes, project management abilities, and excellent communication skills, working in a fast-paced environment.
Must have:

  • Proficiency in Microsoft Office
Good to have:

Days in the office: 3 days in the office
Reports To: Global Head of Strategic Pursuits & Proposals based out of London (subject to change to a Manager from the same team)

About the Role

We are looking for a proactive, collaborative, and detail-oriented Proposal and Pursuit Specialist to play a central role in driving high-impact strategic pursuits and managing formal proposal responses, including RFPs, RFQs, and RFIs. You will partner closely with the Pursuit/Proposal Manager and cross-functional teams to coordinate, and craft tailored proposals, compelling client presentations, and high-stakes pitch materials.

This is a dynamic role at the intersection of strategy, storytelling, and project management. You'll act as the link between sales, client-facing teams, product experts, designers, and other support functions—ensuring every pursuit and proposal reflects our value, speaks directly to client needs, and aligns with our broader sales strategy.

Your Responsibilities

  • Work closely with the Pursuit/Proposal Manager on large-scale, strategic opportunities, coordinating activities across stakeholders to support winning pitches and presentations.
  • Lead and manage the full lifecycle of RFP/RFI/RFQ responses, ensuring compliance, quality, and timely submission.
  • Collaborate with sales, product, marketing, legal, and design teams to gather inputs, develop proposal content, and tailor messaging to client needs.
  • Support strategic storytelling by translating technical and complex information into clear, engaging, and client-focused narratives.
  • Take ownership of bid and internal stakeholder management: schedule meetings, track action items, capture minutes, and maintain alignment across teams. (Stakeholders vary from 3 to 15+ individuals or teams dependent on the project and may span teams across Sales, Account Management, Legal, Finance, HR, Product and other SMEs)
  • Bring fresh ideas to client presentation sessions and internal reviews to continuously improve how we present our value.
  • Support pitch stage preparation, including custom presentation materials, speaker notes, coaching support, and logistics.
  • Maintain and expand libraries of proposal content, case studies, bios, and marketing collateral for reuse and refinement.
  • Support reporting and internal communications for the Pursuit & Proposal function—helping organize trackers, team calls, and performance insights.

Ideal Skill Sets and Experience

  • Bachelor’s degree in Marketing, Communications, Business, English, or a related field.
  • 3+ years of experience in proposal coordination, RFP response development, marketing, or business development—ideally in a professional services, consulting, or B2B environment.
  • Strong writing and editing skills with the ability to shape compelling and client-centric messaging.
  • Deep understanding of RFP processes, requirements, and compliance best practices.
  • An agile mindset to flex working approach based on evolving needs and be able to multitask across numerous projects and proposals at a time.
  • Strong project management and organizational abilities, with a keen eye for detail and a passion for timelines.
  • Proficiency in Microsoft Office (especially Word and PowerPoint); experience with Adobe Creative Suite, InDesign, and CRM tools is a plus.
  • Comfortable working in fast-paced environments, managing multiple projects simultaneously with varying deadlines and complexity.
  • Familiarity with APMP methodologies or Foundation-level certification is a plus.

  • Leading and supporting proposal submissions in response to RFPs and other formal procurement processes.
  • Coordinating strategic pursuits and live sales presentations alongside business development leaders.
  • Developing content that connects with clients through effective storytelling and tailored messaging.
  • Acting as the central liaison between internal teams to gather, synthesize, and refine proposal and pitch materials.
  • Managing proposal and presentation timelines, internal reviews, compliance checklists, and final production.
  • Offering insights, feedback, and creative solutions to elevate the team’s approach to pursuits and presentations.
  • Tracking and reporting on proposal and pursuit outcomes and supporting ongoing process improvements.
