Job Description

The Scheduler I will be responsible for coordinating activities from different sources leading to final product/activity. This role requires a strong understanding of departmental procedures. Responsibilities include developing optimal training schedules, ensuring compliance with regulations, and monitoring schedules for improvements. They must resolve conflicts, adapt to last-minute changes, communicate schedules, and serve as a contact for scheduling inquiries. The role also involves collaboration, scheduling training events, and verifying data accuracy. Analytical support for training planning and cost-saving initiatives is also required. The role demands strong organizational, communication, problem-solving, and time management skills. Experience in aviation training scheduling and knowledge of aviation regulations are essential.

Join CAE’s Flight Academy in Mesa, AZ as a Scheduler I

In this role, the Scheduler I will be responsible for coordinating activities of specialized nature usually coming from different sources (internal or external) conducting to final product/activity. Responsibilities require sound working knowledge of procedures in the department necessary to accomplish work activities.

Responsibilities will include, but are not limited to:

    • Develop optimal training schedules across all training categories to maximize operational efficiency and comply with regulatory standards. 

    • Ensure the department consistently meets contractual and regulatory compliance requirements. 

    • Stay current with training programs and regulations and adjust training schedules to ensure on-time completion of training program. 

    • Continuously monitor training schedules and processes to identify and implement improvements. 

    • Resolve scheduling conflicts, such as instructor unavailability or technical malfunctions, promptly and effectively. 

    • Adapt to last minute changes in training schedules while minimizing disruption to operations. 

    • Ensure consistent application of standard operating procedures in all scheduling practices. 

    • Communicate training schedules to cadettes, instructors, and department heads to ensure clarity and engagement. 

    • Serve as the primary point of contact for scheduling-related inquiries, confirmations, and updates. 

    • Collaborate within an operational support team to coordinate checking events in advance to ensure continued progression of training. 

    • Schedule all required qualifying training events to maintain compliance and adhere to the Training budget. 

    • Verify accuracy of qualification data of all cadettes and flight instructors. 

    • Provide analytical support for training planning and recommend cost-saving initiatives. 

    • Assist team members during peak scheduling periods and actively share best practices to improve team performance. 

    • May perform other responsibilities as assigned. Responsibilities and duties may change when circumstances dictate. 

Specialized Skills & Competencies 

  • Organizational Skills: Strong ability to manage multiple training schedules and resources. 

  • Accuracy Assessment: Ability to manage accurate documentation of training sessions and compliance requirements. Must be able to determine the accuracy of data received for input. 

  • Communication Skills: Clear and professional communication with employees, instructors, and department heads. 

  • Problem-Solving Skills: Ability to troubleshoot and resolve scheduling issues or conflicts quickly. 

  • Familiarity with Aviation Industry Regulations: Knowledge of aviation training standards and regulatory requirements is essential. 

  • Experience with aviation training scheduling is required. 

  • Time Management: Ability to efficiently manage time and resources to ensure timely delivery of training programs. 

  • Keystroke Competency: Must have basic typing skills while ensuring data accuracy. 

  • Structured Analysis: Must possess the ability to create simple models for data tracking and reporting. 

  • End User Support: Must possess the ability to understand user-related issues and resolve them in a team environment.
