The Hospitality Executive supports the Hospitality Managers and Directors in executing client programs and day-to-day project tasks, ensuring smooth operations. This role involves working in a fast-paced agency environment, requiring a detail-oriented, flexible, and hard-working individual committed to exceptional client service. Key responsibilities include supporting the planning and execution of premium hospitality programs, managing guest registrations, communications, branding, and onsite experiences, as well as coordinating logistics like VIP transportation, hotel reservations, and F&B. The role also involves budget management, vendor sourcing, and developing client presentations.
Must have:
  • Support the Hospitality team with planning and execution of premium hospitality programs.
  • Support guest event registrations, communications, branding, ticketing, and onsite experiences.
  • Coordinate talent appearances, VIP transportation, VIP hotel reservations, F&B, gifting, and video content capture.
  • Support budget management, vendor sourcing, run-of-show development, and internal coordination.
  • Manage creative ideation approval processes with key stakeholders and clients.
  • Develop presentations and client materials to support activation and event strategy and implementation.
  • Travel as required.

The Role and What You'll Do:

The Hospitality Executive is instrumental in the execution of client programs and a critical part of our team. The individual will support Hospitality Managers and Directors in day-to-day project tasks, and work to ensure that our programs and projects are running smoothly. The Hospitality Executive will operate in a fast-paced, dynamic agency environment where every day is different. The ideal candidate must be detail oriented, flexible, hard-working and committed to providing exceptional service and work for our clients.

  • Support the Hospitality team with the planning and execution of premium hospitality programs (e.g., sporting events & VIP client experiences).
  • Support guest event registrations, communications, branding, ticketing, onsite experiences, talent appearances, VIP transportation, VIP hotel reservations, F&B, gifting, video content capture.
  • Support budget management, vendor sourcing, run-of-show development, and internal coordination.
  • Manage creative ideation approval processes with key stakeholders and clients
  • Develop presentations and client materials to support activation and or event strategy and implementation.
  • Travel required.

You Have These:

  • 1-2 years’ experience in planning, sourcing, and designing with a hotel, convention center, DMC, Production Company, or 3rd Party Agency
  • An undergraduate degree from a 4-year college or university. Agency Experience or previous internship is a plus.
  • Advanced level proficiency in Microsoft Office Suite: Microsoft Excel, Word, Outlook and PowerPoint.
  • Keen attention to detail, accuracy, and personal accountability.
  • Ability to communicate clearly and professionally; both in writing and verbally.
  • Ability to proofread documents and provide quality control.
  • Comfort with presenting and speaking to clients.
  • Possess a strong work ethic and willingness to help with any tasks.
  • Problem-solving in complex situations.
  • Pleasant, positive attitude.
  • Time management – ability to prioritize, organize and manage multiple tasks.
