Job Description

The Administrative Assistant role involves strong calendar management with shifting priorities and deadlines. Responsibilities include booking complex domestic and international travel, managing travel details like visas and welcome letters, and handling expenses. The candidate will assess the importance of communications and take appropriate action, manage multiple projects simultaneously with accuracy and attention to detail, and take initiative to manage divisional logistics. Proficiency in Microsoft tools, Intel tools, purchasing, and finance systems is required. The role supports office administration tasks such as ordering supplies and food, and assists in coordinating organizational activities, events, conferences, and meetings, preparing agendas, and managing logistics. Additional duties include managing tactical projects and generating shipping memos. The candidate will work professionally with other Senior and Executive admins to facilitate planning needs, coordinate activities to meet department goals, mentor new admins, and ensure understanding of department procedures and expectations.

Job Description: 

  • Duties include strong calendar management, with shifting priorities and deadlines, booking complex domestic/international travel, managing travel details such as visas, welcome letters and managing expenses.
  • Able to quickly and accurately assess the importance of a phone call, email, or document and take appropriate action to involve the appropriate parties.
  • Manage multiple projects simultaneously. Demonstrates strong accuracy and attention to detail while taking the initiative to manage logistics of the department/division such as maintaining divisional organizational charts, phone distribution lists and divisional logistics needs.
  • Strong capability working with all Microsoft tools, Intel tools, purchasing and finance systems.
  • Supports office administration with associated tasks (ordering office supplies, food orders, onsite needs).Assists in coordinating activities across the organization, events, conferences, F2Fs, etc: plans and organizes meetings and offsites, prepares agendas and coordinates all logistics.
  • Additional duties include managing tactical projects, general administrative duties such as order supplies, CR coordination, generating shipping memo, etc.
  • Works professionally with other Senior and Executive admins to help facilitate timely and accurate planning needs.
  • Responsibilities include coordinating activities to ensure department goals are met, effectively mentoring and integrating new admins and ensuring all admins understand department procedures and expectations.

Qualifications:

You must possess the below minimum qualifications to be initially considered for this position.
 

  • The candidate must be graduate with minimum 3-5 years relevant experience Calendar scheduling and management, including coordinating complex events and meetings that require senior level attendance, external attendees, and video conference room booking, etc.
  • BA/BCom/BBA
