SBM Management is seeking a high-level Assistant to support department heads and aid in the company's aggressive growth strategy. This role is integral to the senior executive team, ensuring priorities and goals are met. Key responsibilities include planning, implementing, and managing company projects and events. The Assistant will handle scheduling, calendar management, meeting preparation, high-level note-taking, and follow-up for the executive team. This position also involves coordinating complex schedules, managing information flow, performing administrative tasks such as spreadsheet creation and contact database maintenance, and organizing internal and external programs and events. The role requires maintaining professionalism, strict confidentiality, and discretion when interacting with the business, while also supporting business priorities by staying informed of CEO initiatives.
Must have:

  • 8-10 years of executive administrative experience

Position at SBM Management

SBM Management is looking to add a talented high-level Assistant to directly support department heads while we continue positioning the organization to pursue an aggressive growth strategy. The Executive Assistant is a crucial member of our senior executive team that helps ensure we stay on top of priorities and goals. The primary day-to-day responsibility will include planning, implementing, managing, and helping control company projects and events.

Roles & Responsibilities:

  • Schedule, maintain, and update calendar events and prepare meetings for the executive team.
  • Manage professional scheduling for President and other executives, including agendas, mail, email, calls, travel arrangements, client management, and other company logistics.
  • Participate in various executive meetings and provide high-level notetaking and follow-up post-meeting.
  • Coordinate complex scheduling, extensive calendar management, and management of content and flow of information between the executive and operational leadership.
  • Perform administrative and office support, such as creating spreadsheets and maintaining the contacts database.
  • Planned and organized internal and external programs and events and managed event logistics with internal partners and external vendors as needed.
  • Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business.
  • Help support and push business priorities forward by keeping a pulse on the CEO's initiatives.

Qualifications:

  • Bachelor's degree in Business Management or a related field from a four-year college or university with at least 8-10 years of executive administrative experience.
  • You may be required to have a valid driver's license
  • Superb written and verbal communication skills and the ability to organize and coordinate multiple projects simultaneously. Proficiency in MS Office and other office productivity tools, with the aptitude to learn new software systems. Flexible team player willing to do what it takes to get the job done.; adaptable to high pressure and enjoys a challenge—the ability to keep company confidence. 

Compensation: $75,000 - $80,000 per year
