Job Description

Keyword Studios in Paris is seeking a bilingual Receptionist/Office Manager (French/English) for a full-time position. Responsibilities include professional reception of visitors, staff, and partners; managing the telephone system, including call screening and message taking; handling mail and packages; managing access badges and meeting room bookings; supporting administrative tasks like document processing, invoice handling, and artist profile management in Mediartis; maintaining common areas; coordinating with internal teams (production, HR, IT, Finance); and contributing to a positive employee and visitor experience. The ideal candidate possesses excellent interpersonal skills, strong organizational abilities, proficiency in MS Office, and fluent English and French.

Job Details

Dans le cadre de l’évolution de notre dispositif d’accueil, nous recrutons un·e Chargé·e d’accueil / Réceptionniste bilingue anglais. Rattaché·e au Directeur du studio, vous êtes la première personne de contact pour les collaborateur·ice·s, les partenaires externes et les visiteurs.

CDI

Temps plein 39 heures/semaine (10h-19h)

MISSIONS PRINCIPALES

Accueil physique et téléphonique :

  • Assurer un accueil professionnel et courtois des visiteurs, salarié·e·s intermittent·e·s, prestataires et collaborateurs·rices
  • Gérer la signature des accords de confidentialité des visiteurs
  • Gérer l'interphone et l'accès des visiteurs
  • Gérer le standard téléphonique : filtrage, prise de messages, orientation vers les bons interlocuteurs
  • Gestion des emails envoyés sur notre adresse générale

Support administratif :

  • Gestion de la signature des documents relatifs aux sessions d’enregistrements, y compris l’envoi de messages de rappel aux comédien·ne·s
  • Réception, tri, distribution et envoi du courrier et des colis
  • Gestion des badges d’accès, réservation de salles de réunion
  • Participation à la logistique des événements internes
  • Reporter et traiter les factures des dépenses effectuées avec la carte de crédit de la société
  • Gérer les profils artistes dans Mediartis et ajouter des médias à la demande de l'équipe
  • Gérer des réservations d'hôtel pour les salarié·e·s
  • Numérisation, tri et archivage des documents

Gestion des espaces communs :

  • Veiller à la bonne tenue de l’espace d’accueil, des salles de réunion et des espaces partagés (arroser les plantes, etc…)
  • Assurer le suivi des consommables (fournitures de bureau, alimentaires, hygiène, etc.)
  • Entretenir les relations avec les fournisseurs réguliers et les prestataires de services
  • Superviser les petits travaux d'entretien

Coordination avec les services internes :

  • Collaborer avec les équipes de production, de planification, les services RH, IT et Finance, avec un soutien ponctuel à la planification.
  • Contribuer à l’amélioration continue de l’expérience collaborateur·rice et visiteur·se

Requirements

Profil recherché :

  • Expérience préalable sur un poste similaire souhaitée
  • Excellentes compétences relationnelles et sens du service
  • Capacité à gérer plusieurs tâches en parallèle avec rigueur et organisation
  • Maîtrise des outils bureautiques (Outlook, Word, Excel)
  • Bon niveau d’anglais à l’oral et à l’écrit requis (accueil de publics internationaux)
