The Client Services Assistant provides support to the Skywalker Sound Client Services team and provides services and support to all visitors and clients and Skywalker Sound freelancers and employees.
Must have:
  • Assist clients and guests with event services, food prep, catering, tours, transportation, and shopping.
  • Run errands for food, drink, and facility supplies, both on and offsite.
  • Deliver, restock, and clear craft items on stages and throughout work areas.
  • Stock client groceries and supplies in the Inn and other work areas.
  • Input guest information into the visitor registration system for various requests.
  • Coordinate client and guest arrivals and departures to appropriate locations.
  • Manage reserved parking signs and other signage for clients and events.
  • Assist with organizing and implementing special events like dinners, parties, and tours.
  • Help with event prep: decorating, moving furniture, setting tables, food prep.
  • Assist with facility maintenance requests and inform responsible parties.
  • Perform miscellaneous cleaning, including busing, washing dishes, and maintaining common areas.
  • Perform special projects as needed on an ongoing basis.
  • Occasionally provide client transportation to/from airport and other locations.
  • Occasionally provide backup support to executive/administrative office.
Good to have:
  • Experience working in a hospitality or other VIP environment
  • College degree or equivalent work experience
  • Knowledge of post production sound

Job Summary:

The Client Services Assistant provides support to the Skywalker Sound Client Services team and provides services and support to all visitors and clients and Skywalker Sound freelancers and employees.

This role is considered Onsite, which means the employee will work 100% onsite 5 days a week at our office.

What You’ll Do

  • Assists with services and support to clients and their guests, including, but not limited to all aspects of events including food prep and catering, tours, local transportation arrangements, personal shopping, facility craft and event shopping.
  • Runs errands, including all aspects of shopping for food and drink, facility supplies, etc., on and offsite.
  • Delivers, restocks, and clears craft on stages and throughout work areas and various buildings.
  • Stocks client groceries and supplies at the Inn and other work areas throughout various buildings.
  • Inputs guest information in the visitor registration system for productions, scoring sessions, client requests, transportation, etc.
  • Coordinates client and guest arrivals & departures to the appropriate locations.
  • Attends to reserved parking signs and other signage as needed for clients and events.
  • Assists team with organizing and implementing special events such as staff and client dinners, wrap parties, screening receptions, tours, ranch activities, etc.
  • Assists with event prep, including decorating, moving furniture, setting tables, food prep including using knives, using coffee grinders and brewers, blenders, prepping platters as directed by chef and / or other client services employees.
  • Assists with facility maintenance requests and informs responsible parties.
  • Miscellaneous cleaning including busing and washing dishes, and prepping service areas, as well as maintaining cleanliness in common areas, bathrooms, and stages.
  • Performs special projects as needed on an ongoing basis.
  • Occasionally provides client transportation to / from the airport and other locations.
  • Occasionally provides backup support to the executive / administrative office as requested.

What We’re Looking For

  • 1+ years experience in a client services position such as at a caterer, restaurant, hotel, or grocer.
  • Must be 21 years or older
  • Must have a valid current CA driver’s license and access to a personal vehicle
  • Must be able to work a varied, flexible schedule including overtime (early mornings, late evenings and weekends)
  • Experience working in a hospitality or other VIP environment preferred
  • College degree preferred or equivalent work experience.
  • Knowledge of post production sound useful but not required.
  • Strong organizational and service orientation skills.
  • Must have a friendly, can-do attitude
  • Must be attentive to detail while juggling multiple projects.
  • Proven interpersonal skills and the ability to interact effectively across all levels of an organization.
  • Strong verbal and written communication skills.
  • Proven ability to use diplomacy, tact and discretion.
  • Exceptional telephone and customer service skills.

  • Exceptional computer skills including, but not limited to: Word, Excel, Outlook.
