The Executive Assistant will support the Customer Office leadership team, handling administrative tasks, managing schedules, coordinating meetings, and ensuring seamless daily operations. This role requires discretion, attention to detail, and strong problem-solving skills. The responsibilities include managing calendars, meetings, travel, and communications; handling confidential information; preparing reports and correspondence; organizing and maintaining documents; supporting special projects and events; and assisting with expense tracking and budget oversight.
Must have:
  • Strong proficiency in Microsoft Office Suite and scheduling tools
  • Exceptional organizational and multitasking abilities
  • Excellent written and verbal communication skills
  • High level of professionalism and confidentiality

The Impact of an Executive Assistant at Coupa:

We are seeking a highly organized and proactive Executive Assistant to support the Customer Office leadership team. The ideal candidate will be a strategic partner, handling administrative tasks, managing schedules, coordinating meetings, and ensuring seamless daily operations. This role requires discretion, attention to detail, and strong problem-solving skills.

What You'll Do:

    • Manage calendars, meetings, travel, and communications for executive leaders.
    • Handle confidential information with professionalism and discretion.
    • Prepare reports, correspondence, and support internal/external stakeholder engagement.
    • Organize and maintain documents, ensuring timely access to key information.
    • Support special projects, events, and offsite meetings including research and coordination.
    • Assist with expense tracking, budget oversight, and vendor management.

What You Will Bring to Coupa:

    • Bachelor's degree preferred
    • Strong proficiency in Microsoft Office Suite, Google Workspace, and scheduling tools
    • Exceptional organizational and multitasking abilities
    • Excellent written and verbal communication skills
    • High level of professionalism and confidentiality
    • Ability to work independently and adapt to changing priorities
    • Strong problem-solving and decision-making skills
