🕵️ We are seeking a dynamic and highly organized Personal Assistant to support our CEO and Executive team in managing daily operations, ensuring effective time management, and driving productivity. As a critical partner to our CEO, you will play a key role in maintaining the smooth flow of activities, prioritizing tasks, and ensuring that our executive team can focus on strategic initiatives.
Key Responsibilities:
Calendar Management: Efficiently manage and coordinate the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements. Anticipate scheduling conflicts and adjust plans as necessary.
Communication: Serve as the primary point of contact between the CEO and internal/external stakeholders. Draft and review emails, reports, and presentations with a high degree of professionalism and accuracy.
Project Management: Assist in the planning, execution, and monitoring of key projects, ensuring deadlines are met and objectives are achieved. Coordinate cross-functional teams to ensure seamless collaboration.
Information Management: Organize and maintain files, documents, and records, ensuring easy access and confidentiality. Conduct research and gather data to support decision-making.
AI and Tech Utilization: Leverage AI tools, such as ChatGPT, to enhance productivity, automate routine tasks, and generate insights. Ensure the CEO stays informed on technological advancements relevant to the business.
Travel Coordination: Arrange domestic and international travel, including flights, accommodations, and itineraries, ensuring the CEO’s trips are smooth and efficient.
Event Planning: Organize and coordinate company events, meetings, and conferences, ensuring all details are handled meticulously.
Miscellaneous: Handle personal tasks and errands for the CEO as needed, ensuring their personal and professional life runs smoothly.
What kind of professional are we looking for?
Experience: Minimum of 3+ years as a Personal Assistant, Executive Assistant, or in a similar role supporting senior executives.
Language: Advanced level of English, both written and verbal as well as Advanced level of Russian
Technical Skills: Proficient user of Microsoft tools , G-Suite, and other productivity tools. Familiarity with AI tools, such as ChatGPT, and the ability to create effective prompts is essential.
Organizational Skills: Exceptional time management and organizational abilities, with a proven track record of managing complex schedules and priorities.
Communication Skills: Strong written and verbal communication skills, with the ability to interact confidently with senior executives and stakeholders.
Analytical Skills: Good analytical and problem-solving abilities, with an eye for detail and a proactive approach to challenges.
