The Sales and Marketing Coordinator supports both teams, handling diverse tasks. Responsibilities include general office administration in the Toronto office (minimum 10 days on-site monthly), CRM updates, sales pipeline support, event organization, travel arrangements, and creating sales materials. The role involves collaborating with various teams, managing the marketing inbox, updating roadmaps, processing invoices, assisting with contracts, scheduling meetings, taking minutes, and general administrative support for senior management. A high degree of confidentiality, initiative, and excellent communication are crucial.
Must have:

Position Overview 

Reporting to the Senior Director of Sales in this position you will wear multiple hats while supporting the Sales and Marketing teams covering a variety of tasks. This role will play an important role in assisting SideFX with the ongoing sales and marketing administration out of the Toronto office. You are a reliable, tech-savvy, self-starter who enjoys working on a variety of different tasks each day.  Due to the nature of the responsibilities of this role, you will be required on-site at our Toronto a minimum of 10 times per month.


What you will be working on

GENERAL OFFICE ADMINISTRATION 

  • Assist in the daily management of administrative and operational aspects of the Toronto office to create an efficient, positive, friendly, and collaborative environment.

 

SALES AND MARKETING SUPPORT

  • Update the customer data base (CDB) CRM with new and existing customer information
  • Help sales team with CDB and Copper reporting
  • Assist sales team pipeline presentations and forecasting. Help organize off site customer meetings
  • Provide travel related support for sales and marketing teams
  • Help with the organization and marketing of small client and industry events
  • Work with both the Marketing and Sales team to create standard sales information for our customers
  • General administrative support for Vice President of Sales, Marketing and Customer Support, Senior Marketing Director and Senior Sales Director
  • Maintain and monitor the general Marketing inbox for external and internal emails and prioritize action items
  • Updating Marketing roadmap worksheets
  • Organise and maintain Google Drive files for sales and marketing teams
  • Process contractor invoices for sales and marketing teams
  • Assist with contract preparation as required
  • Schedule and set up meetings with internal stakeholders and customers as required
  • Take minutes from various sales and marketing meetings
  • Other duties as assigned.


What you need to be successful 

  • Post secondary degree or equivalent experience
  • Proven ability to maintain a high degree of confidentiality
  • Proven ability to exercise judgement, make decisions and take initiative
  • Ability to work well both independently and in a nimble team environment
  • Tech savvy, with demonstrated ability to learn new software and technologies and document processes, including new Excel and Word features and functions as required
  • Friendly and welcoming with a good sense of humour
  • Solid working knowledge of Microsoft Word, Excel and Power Point
  • Flexible, with the ability to manage multiple tasks at once and shift priorities quickly
  • Excellent time management and organization skills with a strong attention to detail
  • Well developed ability to read calendars, manage competing appointments, and schedule meetings
  • Excellent oral and written communication skills
  • Flexibility to work off hours and attend meetings in the EST and PST times zones on occasions
