Job Description

Reporting to the Chief of Staff, the Special Assistant will serve as the right hand on all operational elements of the Office of the President, especially focused on maximizing effectiveness and time. The Special Assistant will have daily access to and mentorship from a diverse array of senior leaders and participate in meetings with our senior executive team, engage in special projects, and facilitate the effectiveness of the President and Chief of Staff.
Must have:
  • Facilitate the effectiveness of the President
  • Optimize the President’s time by managing his calendar
  • Own the President’s “to do” list in partnership with his Chief of Staff
  • Work collaboratively across Aledade’s leadership team and key internal stakeholders
  • Manage cross-functional processes and meeting governance
  • Partner on project management and collaboration across diverse internal cross functional teams
  • Coordinate interdependencies between projects, identify program-level risks, issues, and changes
  • Utilize data analytics to track the performance of programs
  • Bachelor’s degree
  • 3+ years working experience with a graduate degree OR 6+ years working experience with an undergrad degree
  • Commitment to confidentiality and discretion in appropriately handling sensitive information
  • Exceptional verbal and written communication skills
  • Poise, confidence, and maturity interacting with key stakeholders
  • Ability to build strong relationships and work with individuals at all levels of the organization
  • Highly efficient in managing multiple concurrent diverse tasks and projects
  • Ability to use independent judgment and work under pressure on competing responsibilities with resilience, and a high level of ownership
  • Willingness to travel approximately 10-20% time
  • Fluency in Google Suite (Gmail, Google Sheets, Google Docs, Google Slides)

  • MPH, MBA or other similar advanced degree preferred

Job Details

Reporting to the Chief of Staff, the Special Assistant will serve as the right hand on all operational elements of the Office of the President, especially focused on maximizing effectiveness and time.

The Special Assistant will have daily access to and mentorship from a diverse array of senior leaders and participate in meetings with our senior executive team, engage in special projects, and facilitate the effectiveness of the President and Chief of Staff.

Primary Duties:

  • Facilitate the effectiveness of the President (primary responsibility)
  • Optimize the President’s time by managing his calendar including internal and external meetings, speaking engagements, and travel arrangements
  • Own the President’s “to do” list in partnership with his Chief of Staff — taking accountability for ensuring work is prioritized and completed within the Office of the President and across the organization
  • Work collaboratively across Aledade’s leadership team and key internal stakeholders to proactively ensure that key priorities for the OP leadership team are well communicated and executed. Develop materials to support key workstreams - including content for the President and SVP of Business Operations for key company meetings.
  • Manage cross-functional processes and meeting governance
  • Partner on project management and collaboration across diverse internal cross functional teams in support of key company priorities and key results, including the planning and execution.
  • Program-Level Coordination: Coordinate interdependencies between projects, identify program-level risks, issues, and changes, and help ensure that the key priorities for OP stay on track.
  • Performance Tracking: Utilize data analytics to track the performance of programs and optimize efforts to achieve desired outcomes.
  • Ad hoc projects and other duties as assigned.

Minimum Qualifications:

  • Bachelor’s degree
  • 3+ years working experience with a graduate degree OR 6+ years working experience with an undergrad degree, likely in a fast-paced startup environment
  • Commitment to confidentiality and discretion in appropriately handling sensitive information is required
  • Exceptional verbal and written communication skills
  • Poise, confidence, and maturity interacting with key stakeholders
  • Ability to build strong relationships and work with individuals at all levels of the organization
  • Highly efficient in managing multiple concurrent diverse tasks and projects
  • Ability to use independent judgment and work under pressure on competing responsibilities with resilience, and a high level of ownership
  • Willingness to travel approximately 10-20% time
  • Given that we work across different time zones, some non-traditional hours for early or later calls are an expectation of this role
  • Fluency in Google Suite (Gmail, Google Sheets, Google Docs, Google Slides)

Preferred Qualifications:

  • Familiarity with value-based care and health care ecosystem
  • Experience planning, coordinating and executing events
  • MPH, MBA or other similar advanced degree preferred
  • Ability to work from our Bethesda, MD office 60% of time
