As a Workplace Experience Coordinator, you will be an essential part of a dynamic and dedicated Workplace Experience Team, committed to delivering an exceptional day-to-day experience for all employees, visitors, and guests. You will coordinate meeting spaces, manage office logistics, organize social events, and build networks within the local community, collaborating with various departments to create a welcoming and professional environment.
Good To Have:
  • Experience in a similar role, ideally within a fast-growing or tech environment.
  • Knowledge of basic workplace health and safety protocols.
  • Event planning or internal communications experience.
Must Have:
  • Coordinate meeting room bookings and ensure spaces are well-prepared and presentable.
  • Manage office supplies, groceries, and other orders, keeping track of related expenses.
  • Support the day-to-day running of the office, ensuring it always looks its best and reflects our brand.
  • Collaborate with facilities management and landlords to maintain a smooth and safe working environment.
  • Organize social events and activities to foster connection and fun in the workplace.
  • Build strong relationships across teams and act as a role model for our values and culture.
  • Support internal communications, including preparing slides for weekly staff meetings and sharing updates with the team.
  • Take responsibility for health and safety at the Leeds office, ensuring compliance with workplace requirements.
  • Promote wellbeing initiatives and create an environment where employees feel supported.
  • Build networks within the Leeds business community, attend local networking events, and help create our local brand presence.
  • Develop relationships with local suppliers for staff discounts, perks, and collaborations.
  • Assist with ad hoc tasks and projects to support the UK People Team as required.
  • A friendly, approachable, and highly organized person with a passion for people and workplace culture.
  • Strong interpersonal and communication skills with a service-oriented mindset.
  • Ability to multitask and stay organized in a fast-paced environment.
  • Proficiency with Microsoft Office / Google Sheets & Docs.
  • High level of professionalism and attention to detail.

Hours: 20 per week, 4 hours per day at the office, Part-Time

ABOUT THE ROLE

As our Workplace Experience Coordinator, you will be an essential part of a dynamic and dedicated Workplace Experience Team committed to delivering an exceptional day-to-day experience for all employees, visitors, and guests. You’ll play a vital role in creating a welcoming and professional environment that reflects our company culture and values.

In this role, you will handle a wide variety of responsibilities that directly impact the overall workplace experience – from coordinating meeting spaces and managing office logistics to organizing social events and building networks within the local community. You’ll work closely with departments including HR, the Global Workplace Experience Team, Employer Branding, and IT to deliver a seamless and engaging workplace experience.

YOU WILL BE RESPONSIBLE FOR:

Office Operations & Logistics

  • Coordinate meeting room bookings and ensure spaces are well-prepared and presentable.
