Job Description

We are seeking an Administrative Assistant to support the SVP in Creative Advertising within Sony Pictures Entertainment. This role involves managing the executive's calendar, coordinating meetings, tracking budgets and assets, preparing documents, screening calls, and performing various administrative duties. The assistant will also contribute to creative brainstorming sessions and process expense reports and travel arrangements for the team.
Must have:
  • Manage executive's calendar and coordinate meetings.
  • Prepare for meetings, including agendas and document distribution.
  • Track and organize all team assets.
  • Accurately track and maintain budgets and cost reports.
  • Organize and collect current documents for information flow.
  • Prepare files and materials for territory review.
  • Screen and respond to incoming calls and correspondence.
  • Perform administrative duties like updating databases and filing.
  • Ensure deadlines and asset delivery are met.
  • Facilitate and prioritize executive action items and tasks.
  • Process expense reports and travel arrangements.

Job Details

We are seeking an Administrative Assistant to support the SVP in Creative Advertising within Sony Pictures Entertainment. Interest in Creative Advertising with 2-5 years of administrative assistant experience is a must.

Responsibilities

  • Manages executive's calendar, schedules conference rooms, and coordinates meeting requests and appointments
  • Prepare for meetings which includes conference room prep, agendas, notices, resolutions, and distribution of pertinent documents
  • Tracks and organizes all team assets – print, A/V materials, finishes, etc.
  • Accurately tracks and maintains budgets and cost reports for the creative team and keeps a running tally of spent and committed breakdowns per title
  • Organize binders, folders, and collecting current documents to facilitate the flow of information between departments and key stakeholders (electronic and hard copy)
  • Prepares files and materials for territory review and feedback
  • Screens and responds to incoming calls and correspondence
  • Contribute to creative brainstorming sessions
  • Performs administrative duties such as updating databases, lists, filing, processing mail, copying, etc.
  • Working with the larger team to keep on top of deadlines and asset delivery
  • Facilitating/prioritizing action items and tasks for executive
  • Processing expense reports and travel arrangements for the team
  • Miscellaneous duties as required

Qualifications:

  • Minimum 2 years of experience in an executive assistant capacity, experience in supporting a Senior level Executive is preferred
  • Entertainment or corporate experience preferred
  • Ability to be flexible, frequent overtime likely required and work well in an environment where needs and priorities are subject to much revision
  • Excellent computer skills specifically Word, Excel, Outlook. Working knowledge of PowerPoint, Keynote, audio, video, and image files.
  • Excellent communication skills – written and oral
  • Demonstrates high problem-solving skills and be able to proactively troubleshoot
  • To perform efficiently, accuracy and attention to detail required
  • Must have personability interacting with internal and external executives, as well as high-profile filmmakers and talent
  • Must be able to work independently and multi-task with ease
  • Must be able to work well under pressure and with tight deadlines
  • Identify work priorities and requirements up-front and make timely decisions
  • Demonstrates the ability to work with all levels of management.
  • Demonstrates the ability to work as part of a team including contributing beyond your range of duties and experience.
  • Must be able to exercise initiative, professionalism, and confidentiality

The anticipated base salary for this position is $30.40/hour to $38/hour. This role may also qualify for incentives and/or comprehensive benefits. The actual base salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location of the position.
