We are looking for a highly skilled and experienced Archiving & Records Management Lead to join our team in Poland. In this role, you will be responsible for maintaining archiving systems and acting as a consultant to business users. You will manage archiving migrations from other systems, setting up archiving for functions in the business, and lead a team of archiving specialists, information exchange specialist, and technical leads. Additionally, you will manage and facilitate the efficient and secure exchange of information within Haleon and with external legacy partners.
The ideal candidate will have extensive knowledge and experience in archiving processes and technologies.
Key Responsibilities:
Lead and manage archiving migrations from various systems to ensure seamless transitions and data integrity.
Develop and implement new archiving functions and processes in collaboration with business units.
Supervise and mentor a team of archiving specialists and technical leads, providing guidance and support to achieve team goals.
Oversee the monitoring and evaluation of information exchange processes including management of escalations with legacy partners
Ensure that the long term access agreements are interpreted and implemented against Haleon processes
Ensure compliance with regulatory requirements and company policies related to data archiving and retention.
Monitor and evaluate the performance of archiving and information exchange systems and processes, making recommendations for improvements as needed.
Stay up-to-date with industry trends and best practices in archiving and data management.
Serve as the key interface to the business groups worldwide, specific to document/records management activities and initiatives to provide information management solutions and influence best practices.
Act as archive lead to members of the archive operations team to ensure that the strategy, goals and objectives of the group are defined and accomplished within prescribed timeframes and funding parameters.
Ensure electronic archives are managed and operated in compliance with policies and operating procedures, standards and external regulations, partnering with cross-functional business areas, IT and infrastructure groups.
Ensure that archives are inspection ready at all times to guarantee that country regulatory agency inspections proceed smoothly, without incident, and within current service level agreements.
Act as the business system owner (BSO) for ARMS (Archiving & Records Management System) in order to represent the Data Office as the named GxP Archivist during internal audits and external inspections, and ensure resolution of findings.
Ensure electronic proprietary information records are protected and preserved in accordance with specific government regulatory requirements and company policies, e.g., GxP regulations, Global Records Retention, etc.
Champion key Data Governance initiatives, communicating business value and expectations to business stakeholders, and enlisting the appropriate levels of management as sponsors of change.
Inform on data retention policies, routinely review record retention schedules, and perform regulatory horizon scanning.
Exercise the authority to place holds on records needed for litigation
Recruit high-calibre staff and own line management/oversight responsibilities to manage performance, coach and develop team members, and ensure effective working relationships within the team.
Partner with business teams to identify problems and opportunities; provide records management expertise within the business to ensure efficient and proper management of proprietary information.
Develop and maintain effective working relationships across all levels of stakeholder groups.
Contribute to Acquisitions, and Divestiture activities as they relate to records management requirements.
Provide content management expertise (indexing, search, retrieval) in Data Governance and best practices of life-cycle management of business records
Responsible for engaging and identifying 3rd party services in support of archiving activities.
Qualifications:
Bachelor's degree in Information Technology, Computer Science, Information / Records Management, or a related field.
Proven experience in archiving and data management, preferably in a managerial role.
Awareness of new developments in archiving and relevant regulations, including practices pertaining to GxP data.
Experience in properly maintaining archived records for audits and respond to audit requests within SLA timeframes.
Strong knowledge of archiving technologies, tools, and best practices.
Must maintain the archive per regulatory standards and provide operational oversight/service to business users.
Experience translating business requirements to system and solution requirements
Strong analytical and problem-solving abilities.
Excellent leadership and team management skills.
Excellent communication and interpersonal skills.
Ability to work effectively in a fast-paced and dynamic environment.
