Job Description

The Employee Experience and Workplace Coordinator supports Ubisoft's Consumer Support Centre (CRC) employees by managing office facilities and day-to-day operations. This role involves welcoming visitors, maintaining supplies, overseeing DSE requirements, and supporting health and wellbeing initiatives. The coordinator also manages supplier relationships, ensures office cleanliness, handles visitor needs, tracks expenditure, organizes travel, and assists with health and safety. They are expected to lead event planning and communicate employee benefits, aiming to continuously improve the employee experience.
Must Have:
  • Manage the facilities and day to day running of the office
  • Welcome our visitors and provide an excellent experience
  • Maintain supplies of food, beverages and other staples
  • Look after our DSE requirements and support any desk moves
  • Look after our Better Health at Work initiative
  • Manage the relationship with our suppliers, landlord and partners
  • Manage the office space ensuring it is clean, tidy and reported issues are dealt with quickly
  • Look after our visitors and their needs from food to ordering taxis and organising hotel stays
  • Manage and maintain records of expenditure in all areas, producing reports as required
  • Organise travel requirements for our Newcastle based employees
  • Monitor and support Health and safety within the office
  • Consistently look for ways to improve the employee experience, reduce costs or improve efficiencies
  • Work with the HR team and wider management team to organise events and employee experience activities
  • Coordinate and communicate relevant employee benefits
  • Maintain easy to use reference guides on Workplace processes
  • Make sure the incoming and outgoing post is taken care of
  • GCSE English and Maths at grade C or equivalent
  • Experience in an office support role or similar
  • Strong interpersonal and communication skills
  • Customer service / employee experience centric
  • Attention to detail, organisation skills and confidentiality are essential
  • Ability to manage competing priorities in a fast-paced working environment
  • Experience of VoIP solutions, ideally Teams
  • Ability to prioritise workload and communicate to stakeholders
  • Must be able to work on own initiative and be driven towards continuous improvement

JOB DESCRIPTION

Our employees at the Consumer Support Centre (CRC) are dedicated to supporting and engaging with our players and deserve the very best employee experience that we can provide. The Employee Experience and Workplace Coordinator is an integral part of the HR team and the wider CRC. Organised, efficient and always providing a smile with a warm welcome to staff, visitors and partners the person in this role can really make a difference to how everyone’s day goes.

This role does require some flexibility when there are events to organise (and attend) and there are lots of opportunities to get involved in some great initiatives.

What you’ll be doing -

  • Manage the facilities and day to day running of the office
  • Welcome our visitors and provide an excellent experience for people passing through as an ambassador for Ubisoft CRC
  • Maintain supplies of food, beverages and other staples by monitoring stock and co-ordinating deliveries
  • Look after our DSE requirements and support any desk moves
  • We really value health and wellbeing here and so you'll be looking after our Better Health at Work initiative
  • Manage the relationship with our suppliers, landlord and partners to ensure the office is a great place to work, including cleaning contracts and security, and keep our suppliers to their promises, highlighting any issues where relevant.
  • Manage the office space ensuring it is clean, tidy and reported issues are dealt with quickly
  • Look after our visitors and their needs from food to ordering taxis and organising hotel stays
  • Manage and maintain records of expenditure in all areas, producing reports as required and working with our Finance team
  • Organise travel requirements for our Newcastle based employees
  • Monitor and support Health and safety within the office and discuss any incidents or concerns with the Senior HR Manager
  • Consistently look for ways to improve the employee experience, reduce costs or improve efficiencies
  • Work with the HR team and wider management team to organise events and employee experience activities, expect to lead the planning
  • Coordinate and communicate relevant employee benefits (e.g. you can get a massage in the office every Tuesday and Wednesday!)
  • Maintain easy to use reference guides on Workplace processes so the team can support when you’re not here (we don’t mind you taking some time off) and,
  • Make sure the incoming and outgoing post is taken care of.

QUALIFICATIONS

We’re looking for the right balance of experience and ‘can do’ approach to working, but there are some things we can’t do without:

  • GCSE English and Maths at grade C or equivalent
  • Experience in an office support role or similar
  • Strong interpersonal and communication skills
  • Customer service / employee experience centric
  • Attention to detail, organisation skills and confidentiality are essential
  • Ability to manage competing priorities in a fast-paced working environment
  • Experience of VoIP solutions, ideally Teams
  • Ability to prioritise workload and communicate to stakeholders
  • Must be able to work on own initiative and be driven towards continuous improvement.

ADDITIONAL INFORMATION

In line with Ubisoft's hybrid work model, our flexible work policy includes a minimum of three days per week in our Newcastle office, with the option to work from home up to two days.
