We’re on the lookout for a superstar Office Manager, someone who’s organised, unflappable, and brings positive energy to every corner of the office. You’ll be the go-to person who keeps things running smoothly, makes everyone feel welcome, and adds a little sparkle to the everyday. Must Have:
  • Consistently look for ways to improve the employee experience, reduce costs or improve efficiencies
  • Work with the HR team and wider management team to organise events and employee experience activities
  • Manage the facilities and day-to-day running of the office
  • Maintain supplies of food, beverages and other staples by monitoring stock and coordinating deliveries
  • Make sure the incoming and outgoing post is taken care of
  • Look after DSE requirements and support any desk moves
  • Maintain easy-to-use reference guides on Workplace processes
  • Manage and maintain records of expenditure, producing reports as required and working with Finance team
  • Work with Health Advocates to manage Better Health at Work initiative
  • Coordinate and communicate relevant employee benefits
  • Monitor and support health and safety within the office
  • Discuss any incidents or concerns with the Senior HR Manager
  • Manage the relationship with suppliers, landlord and partners
  • Organise travel requirements for Newcastle-based employees
  • Create key relationships within the team as well as externally with suppliers and other partners
  • GCSEs (or equivalent) in English and Maths
  • Experience in an office management or support or similar role
  • Great communication and people skills
  • A passion for delivering excellent service and employee experience
  • Super organised, detail-focused, and discreet
  • Able to juggle multiple tasks in a fast-paced environment
  • Comfortable using VoIP tools (ideally Microsoft Teams)
  • Confident managing your own workload and keeping others in the loop
  • Proactive, solutions-focused, and always looking to improve

What you’ll be doing:

💡 Lead & Innovate

  • Consistently look for ways to improve the employee experience, reduce costs or improve efficiencies
  • Work with the HR team and wider management team to organise events and employee experience activities

🚀 Develop & Deliver

  • Manage the facilities and day-to-day running of the office
  • Maintain supplies of food, beverages and other staples by monitoring stock and coordinating deliveries
  • Make sure the incoming and outgoing post is taken care of
  • Look after our DSE requirements and support any desk moves

⚙️ Optimise & Automate

  • Maintain easy-to-use reference guides on Workplace processes so the team can support when you’re not here (we don’t mind you taking some time off!)
  • Manage and maintain records of expenditure in all areas, producing reports as required and working with our Finance team

💬 Engage & Support

  • We really value health and wellbeing here — you’ll work with Health Advocates to manage our Better Health at Work initiative
  • Coordinate and communicate relevant employee benefits (e.g. you can get a massage in the office every Tuesday and Wednesday!)

🛡️ Plan & Protect

  • Monitor and support health and safety within the office and discuss any incidents or concerns with the Senior HR Manager
  • Manage the relationship with our suppliers, landlord and partners to ensure the office is a great place to work, including cleaning contracts and security, and keep our suppliers to their promises

🤝 Collaborate & Communicate

  • Organise travel requirements for our Newcastle-based employees
  • Create key relationships within the team as well as externally with suppliers and other partners

QUALIFICATIONS

What We’re Looking For

We’re after someone with the right mix of experience and a positive, can-do attitude as you will be an ambassador for Ubisoft Ltd for all our visitors. Here’s what we need:

  • GCSEs (or equivalent) in English and Maths
  • Experience in an office management or support or similar role
  • Great communication and people skills
  • A passion for delivering excellent service and employee experience
  • Super organised, detail-focused, and discreet
  • Able to juggle multiple tasks in a fast-paced environment
  • Comfortable using VoIP tools (ideally Microsoft Teams)
  • Confident managing your own workload and keeping others in the loop
